Job summary
The purpose of this job is to be responsible for providing a full secretarial and PA service to the Medical Division.
The role involves working for Consultants and their team, typing clinical correspondence, reports, etc using the digital system, general administrative duties within the Respiratory team.
Main duties of the job
- To provide a comprehensive secretarial service to consultants, visiting consultants, junior medical doctors and clinical nurse specialists.
- To ensure all referrals are date stamped with date of arrival and entered on to waiting list daily.
- To ensure all referrals are graded by consultant and appointments booked according to clinical need, in chronological order adhering to clinic booking rules.
- To ensure EPR (Electronic Patient Record System) data is correct at all times adhering to 18 week waiting time guidance.
- To be responsible for Waiting List management for inpatients and outpatients adhering to the 18 week pathway and 62 day pathway.
- To be responsible for registering new patients, as required.
- To be responsible for completing weekly data quality validation reports and validating Waiting Lists ensuring there are no breaches, including the PPV (Patient Pathway Validator)
- To arrange outpatient appointments and inpatient TCI (to come in) dates on EPR.
- To be responsible for the diary management of clinics ensuring that all slots are fully utilised.
- To be responsible for clinic changes and setting up of additional clinics, liaising with relevant members of staff following Trust guidelines.
- Type clinic letters, medical reports and general correspondence, using digital dictation and transcribe, for the Respiratory team ensuring workload is prioritised, produced in a timely manner and to an agreed standard.
