Job summary

The renal transplant team, at the Royal Wolverhampton NHS Trust, provide an out- patient service which includes providing care for transplanted patients, managing the transplant listing and coordinating the live donation service.

Applicants will be required to provide an efficient, courteous and helpful reception service to patients their families and other professionals when they contact the department. We are looking for an enthusiastic, motivated person that has a positive attitude to working within a busy clinical environment. The successful candidate must possess excellent communication, organisational and IT skills and will be expected to undertake clerical duties relating to any aspect of the service.

Job responsibilities

To provide an efficient, courteous and helpful reception service to patients, their families and other professionals when they contact the Department.

To undertake various clerical duties associated with the custody and use of Health Records. This will include all administrative procedures and documentation associated with a patients journey through the Service, as outlined in the Patient Access Policy.

It is expected that staff will undertake clerical duties relating to any aspect of the service .

To use a range of IT systems to support the Trust requirements within the Health Record Field

  1. Respond in a professional and courteous manner when dealing with confidential or sensitive issues.
  2. To undertake full receptionist duties, ensuring the service is efficient and welcoming, maintaining confidentiality at all times.
  3. To accurately in-put, up-date and amend all patient related information on to the Patient Administration System (PAS) ensuring the relevant amendments are transferred to renal e-med system as necessary.
  4. To register, admit, transfer and discharge patients on PAS system.
  5. To work within identified guidelines with regards to safeguarding . To ensure safeguarding processes are followed in terms of documentation and reporting.
  6. To input data from a variety of sources using a range of identified data systems accurately and timely
  7. To assist in the timely processing of incoming and outgoing mail.
  8. To undertake filing of notes, results and correspondence following Trust and Departmental policies.
  9. To convey appropriate information accurately and timely to a range of Professionals and Disciplines as authorized.
  10. To attend mandatory sessions and undergo training as deemed appropriate by your line manager.
  11. To participate in the Trusts staff appraisal policy.
  12. To be familiar with and comply with all Directorate and Trust policies and procedures
  13. To assist with the training and induction of any new staff to the department
  14. Photocopy/ scan documents as/when requested. Enquiries should conform at all times to the rules of confidentiality regarding the release of patient information. Policies and procedures should be followed when photocopying/scanning to transmit or copying patient details.
  15. To liaise with staff in the ordering and receiving of goods to the department
  16. To book/arrange appointments for services provided within the department/directorate.
  17. To process telephone referrals, update patients demographic details, giving time and date for appointments, ensuring all patient data is accurate.
  18. To work as a team to ensure daily coverage within the service, working alongside and assisting the lead administrator.
  19. To take specimens to the labs, prescriptions to pharmacy etc.
  20. To arrange all appointments as directed by the nursing/medical staff.
  21. To assist in ensuring there are adequate stocks of stationary and notify the senior nurse on duty of any deficiencies.
