Job summary
Adult Community Services are seeking a friendly, enthusiastic, and highly motivated individual to join our administrative team at West Park Hospital. This key role will support the main reception desk, ensuring a welcoming and efficient front-of-house service for patients, visitors, and staff.
The successful candidate must be flexible and able to work between8:00am and 5:00pm, Monday to Friday, to ensure full coverage during service operating hours.
Provide professional and courteous reception services, including greeting patients and visitors.
Operate the hospital switchboard, ensuring timely and accurate call handling.
Support outpatient clinics by attending and cashing up clinics.
Maintain and update patient demographic information on PAS.
Respond to email enquiries and manage meeting room bookings.
Perform general administrative duties including scanning, filing, data entry and much more.
Main duties of the job
Front-of-House Support:Greet, assist, and signpost all patients and visitors to West Park Hospital, ensuring a welcoming and professional first point of contact and maintaining a high standard of customer care.
Telephone and Communication:Answer all incoming telephone calls promptly and professionally, handling enquiries or redirecting as appropriate to support effective communication across departments.
Patient Administration:Accurately input and update patient information on relevant systems using proficient keyboard and IT skills. Manage clinical records both manually and electronically in line with data protection and confidentiality policies.
Email and Referral Management:Monitor and manage shared email inboxes, processing referrals and responding to queries in a timely and efficient manner.
Clinic and Operational Support:Provide administrative support to outpatient clinics, including preparing paperwork, updating records, and assisting with recording outcomes.
Mail and Deliveries:Handle all incoming and outgoing mail (internal and external), ensuring timely distribution. Accept and log deliveries for all departments within the building.
Transport Coordination:Arrange patient transport as requested by the responsible clinician, ensuring accurate details are provided and recorded.
Supplies and Stationery:Monitor and maintain stock levels of stationery and other office supplies, reordering as necessary to support smooth day-to-day operations.
