Job summary

The post holder is required to assist the Microbiology Managers to monitor and comply with the Quality Management System (QMS) within BCPS Microbiology to standards required for ISO 15189 accreditation, MHRA, HTA and other regulations/ standards.

Assist BCPS Microbiology to monitor achievement for directorate objectives, drivers, and targets by providing data to monitor overall project plans.

Assist and support members of the BCPS quality team and BCPS Microbiology to provide a seamless quality of service.

Undertake quality assurance audits as required across the BCPS network, covering services at The Royal Wolverhampton NHS Trust, The Dudley Group NHS Foundation Trust, Walsall Healthcare NHS Trust and Sandwell & West Birmingham Hospitals NHS Trust.

Communicate with external governance departments of BCPS Owner Trusts on behalf of BCPS to provide and receive information.

Work within standard operating procedures to provide a number of different roles such as verifying performance for examination procedures, generating and maintaining verification and measurement of uncertainty records.

Concentration and attention to detail required for auditing, data gathering and checking documents.

The post holder will be expected to respond positively to the changing demands of the service. They will offer a helpful and professional service to all visitors and telephone callers.

Main duties of the job

Undertake internal audits including requirement to plan and organise workload and timescales. Provide basic support to BCPS staff undertaking internal audits.

To support review of controlled documents associated with the department.

Monitor document control within the QMS and maintain associated paper and electronic databases.

Produce spreadsheets and maintain templates for use in audit, providing reports as required.

Input and assess data on various risk management software used by the BCPS Owner Trusts (e.g. Datix, Safeguard). This includes entries for the risk register, incidents and complaints. Alert managers to problems or issues.

Monitor documentation records within the QMS software system to ensure data for all aspects of the QMS is stored and maintained appropriately. The post holder may be required to revise and update QMS records.

Job responsibilities

Input and view audit data within the Laboratory Information System (LIMs).

Support BCPS Microbiology with plan for closure of remedial, corrective, and preventative actions including root cause analysis.

Able to use judgement when identifying solutions to issues.

Support BCPS Microbiology with the preparation of data collation for external visits i.e., UKAS, MHRA and HTA.

Provide data in format of predefined reports for quality and QC meetings.

Support the Management team in the maintenance of all modules within the QMS software system, including extracting and attaching relevant data to support the system.

Check updates of external documentation to ensure current versions are maintained in Quality Management software.

Attend and/or act as secretary for meetings related to quality management system, including taking minutes as required.

Support complaints investigations through data gathering to assist the Microbiology Management team.

To monitor and maintain the asset register on Q-pulse, to include but not limited to, uploading weekly and monthly maintenance, monitoring when preventative maintenance is due and scheduling in conjunction with the management team and recording reactive maintenance in a timely manner.

Monitor and update the supplier module on Q-pulse for the department.

Preparing reports from existing data as required.

Receipt, record and monitor all EQA schemes completed within the department. Working with the Quality Lead to compile monthly reports and trend analysis.

Disseminate BCPS mandatory training reports escalating non-compliance to the management team.

Provide administrative support for BCPS Microbiology when required.

To communicate with all staff within BCPS and partner sites as required to ensure that effective communications are maintained.

Work within procedures and manage own area of work. Work overseen by managers.
