Job summary

The Royal Wolverhampton NHS Trust are looking to appoint a proactive and enthusiastic Outpatient Support Clerk within the service. We are able to offer a full time opportunity to the right candidate who will provide effective administrative support to the Community Paediatric Outpatient Support Team at the Gem Centre.

The job holder will be required to utilise effective time management skills to undertake a variety of duties associated with supporting the appointments team at the GEM Centre. The successful candidates will provide an essential support service to the efficient running of the GEM Centre Reception.You will act as a first point of contact, providing a friendly, efficient and professional role for our reception area.

We are a busy service and you will be dealing with face to face patients, parents and carers, answering telephone calls, responding to emails, and booking appointments via waiting lists.

Using time management skills, the job holder will also proactively utilise a range of IT systems.

Main duties of the job

Duties will include providing an efficient Reception service at the GEM Centre, as well as dealing with referrals into the service, booking clinic appointments, administrative work associated with patient attendances, and responding to patient enquires. You should have a polite, friendly manner, and be able to deal with sensitive and confidential information professionally.

The successful candidate will have a minimum of four GCSE's including English and Maths as well as having experience in a clerical post.

Job responsibilities

Provide an efficient Reception service at the GEM Centre.

To accurately input, update and montior patient related information onto the computerised Patient Administration System and any other systems (e.g. DocMan, ERS, Outlook) that are used for teams within the GEM Centre.

To take action as necessary dealing with all patient queries, to process referrals, book in, cancel, discharge, change or expedite appointments on the Patient Administration System for patients attending clinic either in person or virtual.

Communicate politely and effectively when responding to enquiries from patients, healthcare staff, carers and others.

To be responsible for the security of hospital records and confidential paperwork in the department.

To work closely with GEM Centre staff, to ensure the development of an efficient team to effectively support the Directorate.

To be responsible for the timely processing of all incoming and outgoing mail.

To respond in a professional and sensitive manner when dealing with confidential issues.

To liaise closely with the Trust Health Records Team on all matters affecting case notes, including the management and retrieval of case notes where necessary.

To process non-clinical letters and documents when required.To respond to incoming telephone calls and emails in a professional and timely manner.

To take part in the annual appraisal system and attend mandatory training sessions as deemed appropriate by the Directorate.

To assist with the training of newly recruited Outpatient Support staff, including an introduction to working practices and procedures within the Directorate.

Undertake any tasks relevant to the work of the Outpatient Support Clerk which develop as a special requirement of the Directorate.
