Job summary

An exciting opportunity has arisen within the Theatre Suite for a Materials Manager. The successful candidate will have a can-do attitude and take a pro-active approach to this new role. Extensive knowledge of NHS ordering systems and some knowledge of budgetary control would be advantageous.

Working closely with the theatre teams, the post holder will harmonise the communication, ordering and distribution of a wide source of materials, across Procurement and Creditor Payment, and external suppliers. Prior experience in this type of role is advantageous.

Main duties of the job

An enthusiastic person is required to work in the busy main stock room for the Theatres Suite. The post holder will be responsible for managing all activities covering the day to day monitoring, ordering, delivery and management of all materials held, used and supplied to theatres for all clinical and non-clinical areas.

Duties will also include managing the materials management database system and producing materials management reports as required by the Theatre management team and finance. The post holder will need to liaise directly with the procurement department, finance department, company suppliers with regards to any discrepancies as appropriate. The post holder will also be expected to organise sorting and distributing consumables to the various users of the pathology services and provide materials management training as required.

Job description

Job responsibilities

To establish and be responsible for ensuring that appropriate stock levels are maintained and reviewed. Review minimum and maximum stock levels.

Responsible for materials procured ordered for pathology via appropriate ordering system (i.e. ABS eProc, Call-off order and NHS Supply chain). Work closely with procurement department to establish the order profiles and databases.

Manage deliveries, liaising directly with the Procurement Department, Finance Department, suppliers, Receipt and Distribution Centre (RDC) with regards to any problems, discrepancies / customer returns as appropriate.

Responsible for developing and producing reports to Theatre management regarding materials management at departmental and directorate level. To be involved with the departmental and directory materials maintenance & monitoring, ensuring a high degree of validity and security of the information.

To be involved with the departmental and Theatre budgetary system maintenance & monitoring, ensuring a high degree of validity and security of the information.

Provide ad-hoc reports as & when required to the Theatre management team and finance.

Responsible for maintaining the master approved supplier list, associated product lists (including storage requirements and locations) and associated financial costs, ensuring that all product reference codes are correct and that the prices are adjusted accordingly with the suppliers annual price increases.

Responsible for goods received within the directorate (GRN) and liaise with creditor payments and procurement when necessary.

Maintain close links with key members of theatre teams especially in the areas of developing existing services, maintaining a team approach throughout all of theatres.

Manage quarterly stock takes, production of associated reports. Perform subsequent investigations and adjust stock to ensure accurate documentation of materials held within the directorate.

Participate in review of stock order forms for service users to ensure product list and quantities supplied are up to date..

Deal with all telephone and personal day to day queries received in theatres regarding the management of materials.

Responsible for all operational protocols and procedures for materials management within pathology.

Manage and maintain communication systems which ensure effective dissemination of information throughout the theatre directorate regarding materials management.

Undertake development work associated with product standardisation & rationalisation, which involves continuous surveying, trialing and evaluation of products within theatres in conjunction with theatre staff.

Undertake studies associated with determining the best value for money in all products used within pathology in conjunction with laboratory management team.

Responsible for maintaining all records relating to material management within theatres.

Respond quickly to emergency product/ supply disruption issues to maintain stock availability. Assist theatre management team in identifying alternative suppliers and coordinating product exchanges
