We are currently recruiting to the post of a full time Medical Staffing Assistant to work within the Medical Staffing Team.

The Medical Staffing team provide a comprehensive administrative service for medical staff working within Trust. You will support the Assistant Medical Resourcing Leads to deal with appropriately, any queries or issues involving medical staff, offer advice in relation to junior medical staffing, ensuring staff are available to cover duties and supporting the appointment of new junior doctors.

Main duties of the job

To be friendly and supportive within the working environment;

Ability to work as part of a team and able to stay calm in a challenging and fast pace environment as well as meeting tight deadlines;

Be an excellent communicator when face to face, via telephone, emails and able to communicate at all levels both with internal and external stakeholders;

To have a general knowledge and understanding of rota management and New Deal/EWTD requirements for junior doctors;

Using your office administration knowledge, skills and working experience of Microsoft packages to provide the best service;

To ensure general administration within the office is completed in a timely manner,

To help assist and ensure that medical vacancies are covered in a timely manner and directorates/departments are kept informed;

To liaise with a number of key internal and external stakeholders.

Job description

Job responsibilities

To assist in the inputting of information onto computer systems such as TempRE, Locum Management System (LMS), ESR, Health Roster and compilation of reports from such systems

To ensure data system (as mentioned above) remain up to date, reviewed and data cleansed in a timely and accurate fashion

To organise and arrange appropriate and cost-effective locum cover for medical staff through the appropriate systems, in accordance with departmental guidelines and adhering to local and national good practice.

To liaise with directorates in relation to shift cover requirements and to ensure emergency and short-term requests are actioned appropriately.

To ensure the correct authorisation has been received to source bank / agency staff to cover vacant shifts or posts.

Undertake internal training to enable assistance with covering vacant gaps on the on-call rotas and obtain locum doctors where necessary.

To escalate any concerns regarding medical staffing cover to the Assistant Resourcing Lead or Resourcing Lead immediately.

To ensure switchboard are notified of any rota changes as and when they occur.

To assist with the administration processes to support the recruitment and retention of bank medical staff.

Undertaking pre-employment checks for medical bank staff in line with NHS employment checks standards.

To deal with queries relating to doctors leave, received from the doctor or the division, dealing with these as appropriate and within defined boundaries and directing queries to the appropriate persons applicable.

To ensure adequate authorisation is granted for doctors leave before updating Health Roster and rotas.

To support the Resourcing Lead in respect of Junior Doctor 2016 Contract, specifically assisting with the exception reporting process.

To assist in the preparation of induction packs, inline with Junior Doctor Rotations.

To Record periods of absence and maintain accurate record keeping for all doctors, using ESR and Health Roster, relating to annual leave, study leave and sickness absence.

To be the main point of contact for the reporting of sickness absence for medical staff and cascading this information on to the appropriate and relevant persons.

To take part in the maintenance of the Medical Staffing inbox, actioning queries and providing resolutions.

To communicate effectively with the Resourcing Lead and wider team on areas of concern.

To carry out any duties as required in line with the Resourcing Leads instruction.

To work flexibly to meet the needs of the department, to include weekend working.

General administration and clerical support to the Resourcing Lead to include:

Answering calls from the sickness line and general medical staffing line

Dealing with medical staffing queries face to face or over the phone

Processing medical bank timesheets

Reviewing documents and files for medical staffing information

Using a scanner and photo copier
