Job summary

An exciting opportunity has arisen within CRN West Midlands for an experienced administrator to support all aspects of the administrative functions for the Delivery Support Team (DST) who support research delivery in Partner Organisations throughout the West Midlands region. We are looking for someone who is highly organised, flexible and able to multitask in order to provide efficient administrative service to a large team of staff.

The post holder will work within the West Midlands region. The post will predominantly be home based however occasional travel around the West Midlands region will be required.

Main duties of the job

We are looking for an experienced administrator who can fit into our busy team. You will work along side a team of administrators/PA to support the team.

The NIHR Clinical Research Network (CRN) coordinates and supports the delivery of clinical research in the NHS and the wider health and social care environment, and supports patients, the public, and health and care organisations across England to participate in high-quality research, thereby advancing knowledge and improving care. The CRN is comprised of 15 Local Clinical Research Networks and 30 Specialties who coordinate and support the delivery of high-quality research both by geography and therapy area. National leadership and coordination are provided through the CRN Coordinating Centre.

Job description

Job responsibilities

To provide administrative support for the Service including training reports, turnaround, expenses, finance, travel bookings, study leave forms.

To undertake all routine administrative work with regard to the recruitment of new staff, including arranging advertising, the application process, interviews and preparing personal files, in line with Trust policies and procedures.

Requirement to create, format databases and spreadsheets.

Arrange for the requisitioning and receipt of goods and services and maintain all associated paperwork.

Support the Service in maintaining accurate filing e.g. personnel files including staff training records and appraisals, in implementing new procedures/processes and booking staff on training ensuring payments, accommodation and travel is arranged and records maintained.

Monitor mandatory training attendance and ensure Risk Assessments are undertaken.

To research information using a variety of resources. Analyse reports, compile presentation materials, spreadsheets and graphs to agreed time scales and formats.

To assemble and collate data from files. Compile statistics and other information as directed by the Head of Service.

Arranging meetings; including booking venues, arranging equipment, ordering catering, producing draft agenda and associated papers on behalf of the chair, sending to attendees in a timely manner and collating attendance.

Take accurate and formal minutes of meetings and other Network meetings if cover is required (which may require travel to attend meetings). Ensure distribution of the minutes to the attendees in a timely fashion. Follow up actions from minutes of meetings ensuring reminders are issued at the appropriate time in order that the team has time to complete such actions.

Assist in the preparation and formatting of presentations such as slide sets for meetings.

To assist in the arranging and management of e team meetings and events.
