Job summary

To be responsible for the administrative support to the Physio and Occupational Therapy Services Management Team and to provide administration and secretarial support to the Therapy Services Directorate as required.

The post holder will be required to demonstrate a significant level of initiative in organising his/her workload, delegating administration tasks, taking decisions and formulating action plans.

Main duties of the job

To provide a comprehensive administration and secretarial support to the Physio and Occupational Therapy Service central administration team.

Job description

Job responsibilities

To organise the day to day workload of the Therapy Services Managers office, providing a comprehensive administration and secretarial service to the Group Manager Therapy Services and the Clinical Operational Manager.

To provide secretarial and administration support for the Therapy Services Department, for prioritising workload and delegating tasks to the A/C Clerical Officer as appropriate.

To provide audio typing and word processing services, including the production of accurate and high quality typewritten material and to prepare letters and memoranda on own initiative where appropriate.

To receive and process incoming mail, bringing this and other relevant matters to the attention of the appropriate member of the Therapy Services Directorate and taking independent action as necessary. To review incoming reports, minutes and general correspondence and establish the extent or sensitivity of various matters and report back to the Group Manager Therapy Services.

To provide a comprehensive recruitment and selection procedures service and to maintain and up-date department personal files as required.

To complete monthly salary and sickness returns, including on-call, overtime and travel claim forms by deadline in the absence of the Secretariat Manager.

To respond quickly and promptly to enquiries received from staff, patients, visitors and outside bodies.

To organise, attend and take minutes of selected meetings, both departmental and regional groups, and to co-ordinate information for certain established teams/meetings as appropriate.

To assist in organising presentations/training courses and to assist with and/or supervise all necessary arrangements for visitors/staff to the department.

To support the Clinical Operational Manager in organising recruitment open days as required.

To assist in the training of any new administration/secretarial/temporary staff including an introduction to working practices and procedures within the department as required.

To participate in acquiring skills associated with new technology.

To monitor qualified Health Professions Council registration, ensuring that Therapy Services maintains evidence of up to date registration.

To provide and distribute timely and accurate information, undertake database input/management and produce reports, graphs and charts.

To organise and monitor departmental staff attendance at mandatory training courses such as CPR, Fire Training and Manual Handling etc.

To develop, maintain and use computerised databases and other information systems to support departmental monitoring and reporting, attending training/update sessions for these and other systems as required.

To ensure ordering/authorisation of all stationery/office equipment and therapy equipment for the department within budgetary constraints.

To be responsible for stock control of the above.

Raising, receipting and recording orders as requested by the Group Manager Therapy Services.

Assist in the completion of Health Roster and ESR forms and Electronic staff records.
