Job summary

The Orthotics Booking Co-Ordinator provides a patient focused and responsive contact point for patients, ensuring all appointments are booked within specified timeframes.

An Orthotics Booking Co-ordinator will manage and co-ordinate the patient pathway from the acceptance of the referral, through to treatment completion, ensuring appointments are booked according to the clinical protocols and department SOPs, contributing to the efficient and effective running of all waiting lists and designated clinics.

Under current Home Office Immigration Rules, this role does not meet the UK Visas and Immigration criteria and the position is not therefore eligible for skilled worker sponsorship. Applications from candidates that require skilled worker sponsorship will NOT be shortlisted.

Main duties of the job

Undertake full reception duties for Orthotics out-patient clinics, including welcoming meet and greet, arrival registration, manage clinical outcomes and complete appointment episodes as necessary.

Maintain a clear and robust outpatient waiting list, monitoring clinic capacity to treat all patients on the outpatient waiting list, working closely with the Orthotics Clinical Lead and Administrative Service Manager.

Deal with enquiries from Outpatient staff, referring Practitioners, patients and other Health Service Organisations, providing an essential support service in relation to Outpatient Services.

Once trained, maintain a high knowledge of Careflow, E-referral service, Electronic Patient Record, SpinalPortal and the Orthotics Ordering system.

Communicate with patients to agree a date of appointment according to the relevant waiting times as designated by the appointment type and other factors, providing general advice around their appointment and the location of the Trust, sending out relevant paperwork. Ensure the appointment is made in timely manner factoring in additional treatments or appointments.

To highlight any referrals that require urgent attention and deal with them promptly; this may involve discussions with the medical/divisional teams directly to arrange where the patient needs to be appointed.

To monitor departmental Waiting Lists for the designated specialties by tracking, booking and closing patients pathways where appropriate, ensuring that all new patients are booked according to current waiting time targets.

Support and assist the Orthotic Clinical Lead but noting there is an expectation that staff will provide support and cover during periods of absence or leave for colleagues, including other departments where need dictates.
