An exciting opportunity exists for a Personal Assistant to provide a high quality, effective, efficient, and confidential secretarial and administrative support to the Radiology Services Manager/ Deputy Radiology Services Manager.
The postholder will assist in the smooth administration of the Radiology services by providing effective and efficient secretarial services in collaboration with other secretarial staff.
Applicants should demonstrate through their application experience of PA/Secretarial work, ability to work independently and unsupervised liaising with people at all levels and the ability to understand and interpret processes which will involve some decision making without reference. An strong knowledge of office systems and software is needed for this role.

Main duties of the job
To provide a high quality secretarial and administrative support to the Radiology Services Manager/ Deputy Radiology Services Manager
To manage own time and time management of the Radiology Services Manager/ Deputy Radiology Services Manager
Provide an expert and wide range of secretarial and administrative support including word processing of correspondence, reports, minutes etc. Design and produce Microsoft PowerPoint presentations. Format and prepare Radiology meeting papers.
Operate a bring forward system for meeting papers (or electronically) and items for future consideration, bringing to their attention in suitable time for action using own initiative to be proactive.
Utilising all office systems to ensure the smooth running of the Radiology Services.
To act as a point of contact for the Radiology Services Manager, including liaison with external bodies and authorities.
Intercept calls where necessary, dealing with enquiries, acting as necessary and relaying and prioritising information as appropriate.
Daily co-ordination of meetings (face-to-face, video conference and telephone conference) for the Radiology Services Manager. Regularly liaising with other PAs across the NHS.

On a daily basis deal with frequent interruptions and prioritise workload accordingly particularly when dealing with situations that arise which could be damaging to the Trust.
Deliver a flexible approach in a changing environment and demonstrate daily the ability to deliver within timescales both personally and through other people.
Attend meetings to take minutes on a regular basis and issue papers, agendas, action points. To concentrate for prolonged periods of time between an hour to up to 4 hours in meetings and recording minutes.
To respond to requests for information from a variety of sources, requiring some decision making as appropriate.
Complete expense claim forms using the Trusts e-expenses system.

Maintain an effective electronic filing system, to ensure information is accurate and up to date for future reference and archive as required.
