Job summary

We have an exciting opportunity for a fixed-term post in the Apollo Programme Team, helping to implement our new Electronic Patient Record (EPR). We're looking for an EPR Clinical and Operational Change Lead (Band 6).

This role offers the chance to be part of this pivotal programme for the Trust, helping to shape future processes. You will be part of preparing the Trust's readiness for go-live of the new system by mapping the patient journey process and defining how the new system should be configured.

Main duties of the job

You will work with clinical and operational services, Programme, and Digital Services colleagues to develop, define, agree, optimise, and document the system design and workflows for new EPR solutions or solution components and the operational and clinical processes that they will affect or support. This work will include providing expert input into current and future state analysis, EPR solution design and configuration, validation and testing, and training preparation.

Key Result Areas

Understand and document Current State Trust processes and workflows and map them to Future State processes and workflows, seeking to improve or optimise where opportunities arise.

Collect and document necessary content for the configuration of the system from the identified Subject Matter Experts within the organisation.

Assist in the development of System C solutions or solution components.

Assist with the implementation of System C solutions or solution components across the Trust.

Assist with the implementation of process and system improvements.

Support system testing and co-ordinate User Acceptance Testing sign-off.

Main Responsibilities

Contribute to creation of the Business Change Strategy and Approach.

Ensure workstream plans are aligned to the Strategy.

Agree and document a business change action plan to implement future state processes in assigned areas.

Assist with the delivery of the business change plan.

Complete the data collection for As Is process analysis and To Be workflow, process, and solution design.

Provide specialist support and input in understanding and documenting local clinical and operational workflows and requirements.

Complete 'as is' current state process capture and analysis, to be future state process mapping and design, and any related gap analysis. This activity may be completed for a workstream or across workstreams.

Ensure all current and future state mapping documents and process flows are signed off by Managing Directors or appropriately authorised staff.

Facilitate and deliver workstream workshops and work with System C architects/SMEs, Trust stakeholders and/or other third parties, to review design, agree design decisions and localisation, and demonstrate solution build.

Ensure all design decisions are recorded in Design Decision Trackers (DDTs) and complete all associated design documentation forassigned areas of the solution.

Gather, analyse and document clinical and operational requirements and functional specifications for EPR designs and future state workflows, including end user device requirements.

Escalate issues with requirements, design, or functionality delivery to the Workstream Lead (and EPR Benefits and Change Team Lead where appropriate).

Participate in Programme Events, Gateways, Decision Points and Early Live Support meetings as required.

Support development and the documentation of new or changed business processes and updates to Standard Operating Procedure documentation.

Work with Trust staff to ensure Trust policies and procedures are updated where relevant (Note responsibility for this documentation sits with the Services).

Work with other change leads and workstreams to ensure solutions and processes meet both department specific and wider Trust requirements and that all relevant workstreams have the information, particularly regarding wider workflow impacts, needed to make decisions andcomplete tasks.

Help to ensure the integrity of design and development of digital solutions and their compliance with all appropriate standards e.g., NHS England Information Standard Notices (ISNs).

Identify areas of opportunity for system and process improvement and work with appropriate teams to implement improvements.

Raise, manage and co-ordinate formal change requests for assigned workstreams through the change process agreed between System C and the Trust. Includes completing any required impact assessment in a timely manner.

Assist Workstream Leads with the engagement of clinical and operational services when required.

Contribute to workstream plans, tasks, RAID log updates and highlight reports for assigned workstreams.

Log new clinical risks/hazards for review as and when required

Work closely with other stakeholders to manage assigned risks and monitor dependencies.

Contribute to test script and training material review, contributing to the creation of system, integration and user acceptance test scripts where required.

Co-ordinate the identification of User Acceptance Test Scenarios with Services/Clinical/Operational Teams.

Assist Workstreams to identify and engage User Acceptance Testers and Super Users.

Support and facilitate sign off for User Acceptance Testing.

Work with operational and clinical leaders and staff to ensure the Trust is operationally ready to begin using the new EPR solution along with any new or changed processes, standard operating procedures, and workflows.

Support Roll Out Planning, Dress Rehearsal and Go Live Cutover Planning.

Help to identify data catch up staff.

Working with the Services and Business Continuity Workstream create, and obtain sign off from services, for downtime forms and downtime processes (for use at Cutover and for future Business Continuity plans).
