Medical Secretary to Anaesthetics

Job summary

An exciting opportunity has arisen whereby we are looking to appoint a Medical Secretary within the Anaesthetic Team Princess Royal Hospital.

The successful candidate will be a pivotal part of the department. Providing an efficient and comprehensive secretarial support service, using effective prioritisation skills to ensure deadlines are met.

It is essential that the post holder exercises initiative and independent judgement whilst maintaining a high level of confidentiality and diplomacy at all times.

This post is currently available for 37.5 hours per week, on a 6 month secondment.

Main duties of the job

The post holder is expected to work accurately under pressure with the ability to manage and prioritise their own workload; providing and receiving information which may require tact, diplomacy and persuasive skills as there may be barriers to understanding.

Some of the main duties include:

  • Act as a first point of contact with respect to rota queries dealing with staff of all levels in the Trust
  • Prioritising and action of incoming mail and telephone calls
  • Weekly set up of anaesthetic rota (CLW), ensuring CLW is up to date at all times.
  • Liaison with clinical rota coordinators as required
  • To liaise with the Medical Staffing Department ensuring that all notifications of sickness is recorded accurately
  • Ensure that the results of tests and investigations for patients are received; shown to medical staff and all relevant ongoing arrangements are carried out.
  • Arrange and service meetings as requested; taking and transcribing minutes and any follow-up actions as requested.
  • Typing of letters (audio typing from dictaphone)
  • Using the in-house patient data tracking system ensure that all patient case notes passing through the office are booked in and out appropriately.
  • Respond to Patient and Carers telephone calls, regarding a variety of subjects, using own judgement in a professional and competent manner to provide non-clinical guidance.
  • Supervise and mentor trainee medical secretaries\agency\support and\or new staff within the department.
