The Estates Department is seeking a highly motivated Supply & Sourcing Coordinator to join our dynamic team at West London NHS Trust.
In this role, you will manage the daily operations of the Estates Maintenance stores as part of the Estates team serving West London NHS Trust. Your responsibilities will include sourcing parts, materials, and equipment for the maintenance team at a cost-effective rate, while adhering to established financial instructions and trust policies and procedures.
You will also ensure that all goods received and issued are accurately accounted for, properly stored, and efficiently distributed. Additionally, you will compile and update a supplier list to ensure smooth, timely, and efficient service for the maintenance team.
Main duties of the job
- Lead the process of continuously improving the sourcing of goods and materials. Conduct annual stock checks, carry out internal stock assessments as needed, and provide stock reconciliation reports.
- - Obtain necessary quotes and prepare formal order requisitions for stock and non-stock items, including parts, spares, components, materials, and equipment. Ensure all orders meet the requirements of capital, estates, and facilities services, strictly adhering to official procedures while liaising with suppliers and specialists as needed.
- Oversee the development and maintenance of the goods and materials asset register, ensuring that warranty data is kept up to date.
- Issue materials, stores, plant, and safety equipment, ensuring that all items are requisitioned correctly according to the Trust's policies and procedures for capital, estates, and facilities. Complete all relevant paperwork in every case.
- Operate and maintain the computerised stock control system for the London Estates Maintenance Department. Interact with the maintenance management system and stock system to ensure that stock levels for estates and facilities are adequate.
- Collect, deliver, and replenish goods and materials to any of the Trust sites as requested or when stock levels reach a minimum threshold.
