CAMHS CTT Pathway Coordinator

Job summary

This is an exciting opportunity to join our vibrant, caring and innovative Islington CAMHS Therapies Team (CTT). CTT is a multi-disciplinary team which addresses the needs of children and young people (CYP) with moderate to severe/complex mental health presentations, from both neurodiverse and neurotypical populations, and from a diverse range of cultures and communities. We offer a range of interventions informed by a number of therapeutic models, including systemic family therapy, CBT, child and adolescent psychodynamic psychotherapy therapy and psychiatry.

With the ongoing increase numbers of CYP who need our support, the referrals to our service have increased. We have also introduced a number of creative new ways of offering therapeutic support to CYP and need to make sure our expanding service has systems in place to manage the increased caseload and to evaluate the innovative changes we are making.

With this in mind, we are introducing a new role of Pathway Co-ordinator within the team. This role is a 1-year fixed term opportunity (or possible secondment) with the possibility of further extension into a permanent role.

Main duties of the job

This post holder will be responsible for the management of the CTT waiting list and caseload with close liaison with the CTT team managers and the CTT team administrator. They will also support the allocation and throughput of cases, the use of feedback and outcomes tools, and the development of systems to ensure the appropriate implementation of CAMHS policies and procedures within the team. Alongside the CTT mangers, the post holder will be responsible for creating new systems to improve efficiency across the care pathways and manage data and reports summarising activity.

The post holder will hold direct line management responsibility for the Band 4 CTT administrator who supports the team with routine administrative tasks such as sending appointment letters, reports etc.. The post holder will also be responsible for providing administration support to the team as required.

The post holder should be a creative and clear thinker, with administrative experience, and with excellent skills with technology to help us to put in place effective systems to manage our large caseload and to monitor through put and the quality of the service we provide. The post holder should have the confidence to provide feedback to the existing administration team and mangers, and to suggest new ideas for improving them. As such, it would be helpful if the post holder had prior experience of developing and improving systems with a view to improving the efficiency of how we work.

Job description

Job responsibilities

A.Management of the CTT referrals, waiting lists, welcome calls and appointments

1.To work with the CTT administrator and managers to manage and process referrals to CTT, including amending systems for doing this to improve efficiency where appropriate.

2.To collaborate with Trust IT, informatics and Rio teams and the CAMHS Business support manager to facilitate the process of demand and capacity

3.To work with the CTT administrator and managersto manage and update the waiting list spreadsheet ensuring the data is accurate and up to date at all times.

4.To work with the CTT administrator, managers and Senior Clinicians to support those making Welcome Calls to CYP and families.

5.To work with the CTT administrator and managers to oversee and monitor the allocation of initial appointmentsand sending out appointment papers as necessary.

B.Management of systems and data

1. To work with CTT managers and administrator to review and develop a data management system to monitor throughput of therapeutic interventions provided in the team.

2.To ensure that an accurate and up-to-date patient record is maintained by updating RiO as necessary. Training will be provided.

3.To work with CTT managers and administers to work out a system to support setting up POD, adding appropriate outcome measures, ensure these are sent to clients, and that clinicians are completed as appropriate.

4.To support clinicians to record all direct and indirect activity on the RIO system so that the teams activity levels are accurately represented in reports to senior management and commissioners.

5.To produce routine reports to team managers in conjunction with the service manager that enable routine monitoring of clinical work and strategic development.

C.Management of staff

1.To provide guidance and support to Band 4 team administrator

2.To promote the continual development of staff under their line management through training and conduct annual appraisals of those staff.

3.To monitor sickness and absence and time keeping of those staff under their line management.

4.To oversee the annual leave of staff under their management ensuring that workloads are covered as necessary

5.To take responsibility for dealing with any employment or disciplinary issues for those staff under their line management

D.Other administrative tasks

1. In collaboration with clinical staff,responding to waiting list or other queries via telephone or email.

2.To attend CTT Team meetings as appropriate.

3.To attend CTT managers meetings as appropriate to support the processing of referrals, management of the waiting list and allocation of cases.

4.To support the team with any other administrativetasks as required.

5.To support the CTT managers with staff recruitment

6.The post holder to provide administrative support as required in the absence of the Administration Manager and Senior Administrator
