Recruitment Administrator, Medical Workforce

Job summary

The post holder will manage all resourcing activities for junior (trainee and non-trainee) medical staff within the Trust including advertising, planning, personal files and on-boarding new employees. To work collaboratively with hiring managers for all areas of the Trust to support with the Medical recruitment process; providing advice and support throughout each area and ensuring training is provided to the hiring managers.

The post holder will be responsible for liaising with Senior Clinicians, HRBP's and Group Managers to lead on recruitment initiatives and ensure all recruitment checks are undertaken in line with the NHS employment check standards.

Main duties of the job

An exciting opportunity has arisen for a Recruitment Administrator to join the Medical Workforce team at UHCW.

The Medical Workforce officers will provide support in the provision of an efficient, comprehensive and timely medical recruitment service. These are key roles in providing a varied and general administrative support to the wider Medical Workforce team.

Responsibilities will include; Creating adverts, organising interview schedules for medical interviews, maintaining accurate filing systems, input and updating data to the relevant recruitment systems and undertaking pre-employment clearance checks for all non-training grade medics.

You will need to have excellent customer service skills, good working knowledge of Word and Excel and be able to work in a busy environment with ever changing priorities and deadlines. Previous experience in a recruitment role or an understanding of the NHS pre-employment standards would be desirable but not essential as full training will be provided to the successful candidates.

Job description

Job responsibilities

  1. Provide information to the recruiting specialities on a range of Medical Workforce issues, ensuring that Trust policies and standards, as well as national terms and conditions of employment for doctors are adhered to. This may relate to: Terms and conditions of employment for doctors Recruitment and selection of all Medical Staff Workforce and vacancy information
  2. Provide information to managers and medical staff on pay and terms of conditions of employment and on Trust policies relating to medical workforce
  3. To deal with a range of employee relation queries in accordance with the Trusts HR policies and terms and conditions of employment for medical staff.
  4. To generate reports on medical workforce information
  5. To complete forms for new starters, leavers or contractual changes for medical staff
  6. To ensure personal files are updated for audit purposes by completing monthly checks to ensure all visas, GMC registrations and DBSs have been renewed where applicable
  7. To complete compliance checks for new starters in relation to passports, visas, occupational health clearances, DBS clearance and references in line with NHS Employers standards. To ensure all paper work and evidence of documents are received in a timely manner. To ensure all new starters are checked against the alert database and against the GMC register.
  8. To complete monthly checks to investigate if any doctors on fixed term contracts require an extension of contract or termination form to be completed. To complete all ESR forms by 6th of each month to ensure no pay errors occur
  9. To provide cross-cover within the Medical Workforce Team during times of absence, as and when necessary to ensure the effective delivery of service.
  10. To undertake advertising of all medical roles across each speciality utilising social media and any other relevant jobs board. Liaise with Communications team where appropriate to ensure wide coverage of vacancies using social media and other forms of communication to promote vacancies.
  11. Support with the delivery of recruitment and selection training as and when required
  12. Keep up to date with recruitment legislation and system changes such as TRAC, NHS Jobs and ESR.
  13. Maintain contact with candidates in the recruitment pipeline, introducing proactive processes to ensure a positive recruitment experience from point to offer throughout the initial 6 months of employment
  14. Support the embedding of the Trust values in the recruitment and selection process. Ensure all recruitment systems are kept up to date for KPI reporting and agreed SLAs are adhered to.
  15. Assist with producing reports on a monthly basis to show number of candidates in the recruitment pipeline and success rate of recruitment activities.
  16. Produce monthly compliance reports to ensure all recruitment managers have received full training prior to undertaking any recruitment activities.
  17. To support with undertaking any project work/general admin duties.
  18. Any other duties deemed to be within the capability of the role.
