Job summary

We are seeking a high calibre individual who can support a broad agenda, managing the business of the Chief Executive's office, including providing high level executive support to the Chief Executive Officer and Chief Officer team.

This function will provide a seamless service as well as ensuring oversight ofthe executive administrative support team as well as co-ordination and congruence of Trust policy implementation including the key managerial decision making structures of the Trust.

Main duties of the job

  • Managing the provision of high quality administrative support to the executive management team;
  • Ensuring appropriate briefings are readied and to maximise the effectiveness of executive meetings;
  • Designing or adapting systems to meet the needs of the CEO and the wider executive office;
  • Liaising with Chief Officers on behalf of the CEO to chase and progress the execution of actions;
  • Preparing presentations and reports for internal and external meetings;
  • Planning and organising of a broad range of complex activities or programmes, some of which are ongoing, which require the formulation and adjustment of plans or strategies;
  • Drafting letters and other correspondence on behalf of the CEO;
  • Ensuring that the chief officers' portfolios and objectives are appropriately agreed and have been signed off by all respective chief officers;
  • Liaising extensively on behalf of the CEO with clinical and corporate groups within the Trust, partners and other external stakeholders including patients, public and the voluntary sector;
  • Providing and receiving highly complex, highly sensitive or highly contentious information, where developed persuasive, motivational, negotiating, training, empathic or re-assurance skills are required.

Job responsibilities

To ensure the provision of high quality administrative and technical support for the Chief Executive Officer (CEO) and other chief officers to ensure they can fulfil their functions and represent the Trust in the best possible light

Provide advice on a range of work procedures and practices, some of which are non-routine, which require a base level of theoretical knowledge.

Ensure that the CEO is fully briefed prior to attendance at any meeting

Make judgements involving complex facts or situations, which require the analysis, interpretation and comparison of a range of options

Design or adapt information systems to meet the needs of the CEO and the wider executive office

Commission and produce reports and statistics as required, producing documents from a variety of sources and presenting the information in various formats

Liaise with Chief Officers on behalf of the CEO to chase and progress actions

Prepare presentations and reports for internal and external meetings

Plan and organise of a broad range of complex activities or programmes, some of which are ongoing, which require the formulation and adjustment of plans or strategies.

Gather internal and external intelligence to inform the CEO and influence policy development
