Job summary

The Reception desk of the Endoscopy unit is a key role in supporting our patients journey at UHCW. We are looking to recruit a new team to support patients who attend our department, with booking in patients, supporting relatives and general administrative duties. The role requires a calm and friendly manner to work in a very busy environment. You will possess effective communication skills and a commitment to delivering excellent patient experience.

The role provides an efficient and responsive service to meet the needs of patients and visitors attending the Endoscopy Unit. The receptionist role welcomes, receives and greets all visitors to the area, providing the first point of contact for all service users, resolving routine enquiries professionally and in accordance with Departmental and Trust standards and procedures, and referring other queries to relevant colleagues where appropriate.

Service working hours: 7 days a week from 8am - 6pm.

Main duties of the job

  1. Welcome, receive and greet all visitors to the area, providing the first point of direct contact for all service users, resolving routine enquiries and complaints professionally in accordance with local standards and procedures, and referring other queries to relevant colleagues where appropriate
  2. Responsible for dealing with all calls received from the public in a professional manner, ensuring telephone standards are met.
  3. Ensure all members of the public, patients and relatives are provided with the relevant information, documentation and advised as to the appropriate contact for further assistanc.

  1. Act as the first point of contact for dealing with routine enquiries, taking action as necessary liaising with others as appropriate, which will include working on a busy reception area for which training will be given.
  2. Communicate with staff, patients and/or external organisations using appropriate methods.
  3. Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archived.
  4. Maintain an efficient and comprehensive administrative service, including photocopying, scanning, post, filing, clinic preparation, answering the telephone, booking and re-arranging appointments, booking ambulances, interpreters and providing support to the departments and other team members as requested. Must have excellent communication skills.
  5. Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. This will include iPM, CRRS and Mosaiq.
  6. Provide appropriate cover in the absence of other members of the team, which may include covering administration services on wards and day unit as appropriate.
