Main duties of the job

An exciting opportunity has become available for a Senior Stores Person to join the Fleet Team.

The location for this post will be a central location within one of the Black Country sites & can be discussed at interview.

The successful candidate will beresponsible for the effective & efficient provision of a robust supply chain across all workshop locations. You willassist with the negotiation and arranging of parts supply contracts/SLA along with implementing, managing and monitoring a consistent stock management system at all locations.

Applicants must have a minimum of 3 GCSEs at Grade C or above along with previous knowledge of stock control systems & a full UK Driving Licence including full category C1 entitlement

Job description

Job responsibilities

Responsible for implementing and managing a standardised stock system across all workshop locations (differentiated requirements between primary and secondary locations), including stock lines, max/min qtys, preferred alternative makes SLAs etc.

Alongside workshop managers, supervise Stores people at all locations, ensure that everyone is complying with the standardised processes

Produce statistical reports to the Fleet Management team, make recommendations regarding stock and supply chain improvements

Lead supply chain initiatives and projects from time to time as directed by the fleet management team

Purchase, receive and process orders for all Workshops within the Fleet locality.

Alongside our 3rd party provider, forecast and order spares for the Workshops using personal skills and knowledge to obtain preferential costs and delivery.

Receive requests from Mechanics, Workshop Charge-hands, Operational staff, for parts, both stock and special orders, raising the appropriate orders and ensuring prompt delivery time from our supplier.

Receive spares from suppliers and distribute to Workshops or Stores, including one off items required for vehicle modifications.

Check delivery/invoices for any discrepancies before inputting on computer system.

Sign off and goods receipt orders and parts for payment.

Correct any discrepancies with Suppliers (including surcharges and credit returns)

Maintain the stock control on the Fleetwave System. Produce accurate reports relating to parts spend, usage and stock held, both owned and impress stock.

Implement & control Impress stock systems and to ensure the terms & conditions are strictly adhered to.

Ensure all parts requested comply with the suppliers warranty procedures/terms. Control & monitor the use of consumables.

Co-ordinate and ensure that all relevant Fleet invoices are recharged to the appropriate departments and Account codes.

Identify obsolete stock and work with our 3rd party provider to ensure all procedures are implemented in the disposal of stock & non-stock items as in accordance with WMAS financial instructions/practices.

In the absence of the Fleet Administrator, support the Workshop Manager with entering maintenance related data into the Fleet Management System ensuring accurate & timely closure.

Use, read and understand Suppliers CD Parts Catalogues and Internet Ordering Systems.

Comply with the Trusts Policy, BSI Procedures and Health & Safety regulations including safe systems of work.

Recommend and implement any Policy and Procedure change within the Stores Department as required by the Fleet Management team.

Move heavy spares and units by hand or mechanical lifting equipment i.e. Batteries, Gearboxes, Engines.

Provide administrative support and assistance to Fleet staff.

Take responsibility for the security of stock & to conduct regular audit inspections of stock held at all locations under your remit

Lead the periodic auditing of stock at Fleet locations around the region assisting our 3rd party provider & the finance team.

Adhere strictly to the Trusts Information Technology security guidelines, the Information Technology Data security policy and the protocols and procedures governing the protection of patient identifiable Data.

Collect/deliver spares to all workshop locations, as & when required basis.

Take responsibility for the security of stock & to conduct regular audit inspections of stock held at all locations under your remit.

Organise own workload with little supervision.

Deal with incoming and outgoing telephone / E-mail conversations and enquiries.

Attend Workshop Team Briefings.

The candidate should also possess the following qualities: -

Physically capable of lifting and moving heavy components.

Hold a clean, current driving licence including Cat. C1 and be prepared to assist in the movement of vehicles.

Keyboard skills.

Confidence and experience using a PC with windows facility.

Outgoing personality with good telephone manner.
