Job summary
We are looking for an enthusiastic and committed Apprentice to work within the ENT & Audiology service line. The successful candidate will provide clerical and administrative support for both the ENT admin team, admissions team and reception area.
***Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***
Main duties of the job
The post holder will:
Support the admin secretary team in administrative duties such as typing, letters, appointments, notes, meetings, email's and more administrative tasks.
To support the reception team on the front desk dealing with patients, appointments and telephone calls.

Job responsibilities
- To use a variety of communication techniques (i.e. telephone, email and face to face) to all levels of hospital staff including external agencies and contacts
To support office and telephone cover across the ENT and Audiology department
- Carry out administration tasks as appropriate, this includes photocopying, scanning, filing, collating information & collating reports.
Book appointments and review waiting lists under the guidance of the admin team.
- To assist the reception and admin team by adding waiting lists
- Work as part of the ENT & Audiology reception team which on occasions will require covering reception alone during lunch breaks and sickness (support will be available in the admin office if needed)
- When working on reception engage with the nursing, clinical and audiologist teams, this may require the post holder to engage in conversations with clinicians and audiologists during clinic
- As a part of the role the post holder is required to go to other parts of the hospital to collect patient case notes
- To ensure that the Patient Document Tracing (PDT) system is kept up to date with the movement of patient case notes both into and out of the department.
- To have a knowledge and understanding of the APNs (Administrative Procedure Notes) regarding the preparation and management of patient case notes and waiting list/appointment booking
- Maybe required to support other areas such as the ENT secretaries and ENT admissions team.
