Pharmacy Logistics Support Senior - Pharmacy Contracts

Job summary

Job Purpose:

To assist with a medicines provision service to University Hospitals Plymouth NHS Trust external contract customers that include labelling and dispensing products and processing urgent and non-urgent stock orders.

To assist in the daily operations of external medicine delivery, ensuring product integrity and governance framework is maintained

To assist in the smooth running of the Pharmacy Logistics areas under the supervision of the Pharmacy Contracts and Logistics Manager.

To assist with paying and raising invoices for University Hospitals Plymouth NHS Trust external contract customers and private entities.

***Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

Main duties of the job

To provide a high-quality service for University Hospitals Plymouth NHS Trust's to our external contract customers.

To work closely with the departments contracted transport courier service to ensure a seamless delivery service.

To download and analyse data from data loggers used to record temperature during transit and investigate any excursions.

To assist with the supervision of junior staff within the logistics team.

To participate in a ward top up service and customer satisfaction audits for external contract customers.

Support the daily operations of medicine supply to external contract customers and UHP external sites.

To assist with the review of Standard Operating Procedures where necessary

Job description

Job responsibilities

1. To make and receive telephone calls from patients, external contract customers, external sites, and deal with general enquiries.

2. Arrange and initiate medicinal product deliveries for patients, Trust staff, external contract customers and external sites within an agreed timeframe.

3. To assist in the implementation of new policies in the logistics area.

4. To work alongside the Pharmacy Contracts and Logistics Manager in maintaining a robust system of delivery for all pharmaceutical products.

5. To assist in analysing temperature control data for ambient and cold chain items and assist in

the investigation of any temperature excursions, communicating the findings to the Pharmacy Contracts and Logistics Manager, contract customers (if necessary) and the Responsible Person(s).

6. Prepare a monthly report of the temperature analysis and other data as deemed necessary for the Pharmacy Contracts and Logistics Manager.

7. To assist in paying invoices for the Trusts courier company and raising invoices for University Hospitals Plymouth NHS Trust external contracts and private establishments.

8. Receive paper, emailed and telephone (emergency) orders for a full range of medicines and pharmaceuticals, including cytotoxics, controlled drugs, antidotes, injections, external preparations, diagnostic agents and bulk intravenous fluids from authorised purchasers using the Pharmacy computer stock control system from all wards and units within University Hospitals Plymouth NHS Trust and our external contracted customers.

9. Process stock and, if required, participate in a Pharmacy top up service to provide an efficient and timely stock medicine supply for external contracted customers.

- Check current ward stock to ensure it is in usable condition and is within its expiry date.

- Determine required stock to bring levels up to a pre-agreed amount.

- Generate orders for the required amount of stock using the pharmacy computer system.

- Pick the required items from stock using the computer-generated picking list and using the automated dispensing system.

- Pick and safely pack in secured pharmacy boxes/bags all required items for wards and units in a timely manner to ensure items are ready for dispatch to external units.

- Regularly, and when necessary, liaise with the relevant clinical pharmacist and nursing staff to ensure ward stock list is kept up to date for range and quantity of medicines.

- Assist in the set-up of new ward stock lists.

10. Carry out final accuracy checking of stock picked by Logistics and Supply ATOs, after completion of internal training and competency package. Ensure that all stock medicines are picked in a timely and accurate manner.

  • Demonstrable experience with a similar role in a large clinical setting.

  • 5 GCSE's 9-4 or above in English, Maths and 3 other or demonstrable experience and NVQ level 2 in Pharmacy Services OR NVQ level 3 or equivalent demonstrable experience.
