To provide Reception cover to the Primrose Breast Care Centre
To support the medical secretaries in providing a comprehensive administrative service to the consultant surgeons and group of medical staff in an efficient and timely manner.
***Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

- Responsible to undertake the role of administrator to the medical secretary workforce working for consultant surgical team and support medical team.

Job responsibilities
- Provide an administrative service to the consultants and multi-disciplinary team at the Primrose Breast Care Centre.
- To participate in reception rota to ensure cover Monday to Friday.
- Assist with printing clinic letters (via BigHand) and filing in hospital notes in an accurate and timely manner as directed by the medical secretary.
- To collect and deliver hospital notes to other departments within Derriford Hospital.
- To ensure hospital notes are available for Day Case/In-patient Surgical procedures in a timely manner.
- Assist with telephone enquiries from patients, GPs and other agencies in a courteous and helpful manner, referring to the medical secretary for advice, when appropriate.
- Ensure accurate messages are taken for surgical team and delivered in timely manner.
- Assist in printing clinic letters and distributing accordingly in a timely manner.
- Action clinician instructions from clinic typing to include checking RTT coding and discharge of patients, booking of diagnostic testing.
- Assist in filing clinic letters in hospital notes in an accurate and timely manner.
- Assist in sorting and dealing with incoming post and distributing as necessary.
- Assist with the improvement and presentation of data collection using appropriate computer software to achieve effective results
- Ensure effective communication with all members of a multi-disciplinary team.
- Assist line manager in the training/supervision of new members of staff.
- Assist medical secretary in the co-ordination of specialty in-patient and out-patient waiting lists within the framework of the Waiting List Management Policy (MGN4).
- Ensure comprehensive working knowledge of iPMS commensurate with role.
- Ensure comprehensive working knowledge of CRIS commensurate with role.
- Ensure GP referral letters are processed and directed to appropriate consultation surgeon for triage in line with Trust Waiting List Policy and 2ww cancer pathway.
- Ensure all hospital case notes arriving into and departing from the department are traced on iPMS (Information Patient Management System).
- Required to cover admin and clerical colleagues during times of absence or increased workload as requested by line manager.
- To carry out any other clerical duties as determined by the line manager.
