Job summary

We are looking for someone who considers themselves a team player but can also prioritise their own work when working independently or within a team.

Effective and proactive interpersonal skills are essential, as this role will be the first point of contact for patients, whether on the phone or covering reception in the Colposcopy Department. The post holder will work closely with a wide range of multidisciplinary Trust staff and external organisations.

The post holder will work as part of a team in facilitating a high quality patient-focused reception service including: taking and transferring calls (including patient calls), booking in and departing patients on the NHS system EPIC, preparing all patient paperwork ready for the patients appointment. The post-holder will be responsible for running a smooth reception process and area.

To welcome and receive all patients and visitors attending the department.

To provide an efficient receptionist service to all visitors attending the Department and maintain a sensitive friendly approach.

Prepare all patient paperwork ready for the clinics.

Check appropriate details and ensuring patients demographic details are correct within Epic, attention to detail is key to this position.

To maintain clinics, recording any patients that DNA (did not attend) on the smart form via EPIC, also passing these to the relevant consultant for review.

To give general advice about the services, where to refer and how to access services to both patients and health care professionals.

To organise additional services for patients as required, such as booking interpreter and booking patient transport.

Check ENVOY the patient text messaging service regularly and pass any rebooks or cancellations to the relevant team.

To undertake the full range of general office duties, and also ordering stationery.

To take phone calls referring on as necessary. To accurately take and document messages for the Colposcopy team.

To pick up any voicemails left and to refer these on to the relevant member of the team to be actioned.
