Medical Staffing Manager

Job summary

This is a key coordinating role supporting the medical workforce in King's Critical Care. The Medical Staffing Coordinator will provide expert administrative and technical support across all aspects of medical staffing, including rota management, recruitment, onboarding, and workforce planning. You will represent the department to our doctors, supporting with everything from recruitment and induction to pay queries. Working closely with a fellow coordinator; and the Service Manager, Deputy General Manager and Clinical Leads, you will help ensure the service is safely staffed and that our staff are well supported.

The role calls for someone with strong interpersonal skills who is digitally confident, comfortable with complex data, and able to spot and solve problems before they escalate. Organisation and accuracy matter, but so do co-operation and clear communication - you will be working with busy teams who depend on you for timely updates and creative problem-solving. Precise written communication, and the ability to balance independence with direction will be key to success.

We are looking for someone curious about how things work, with a willingness to learn new ways of working, who takes pride in getting details right while understanding the bigger picture. Familiarity with the lifecycle of trainee doctors and previous rota management experience would be advantageous but may not beessential for the right candidate.

Main duties of the job

The Medical Staffing Coordinator is responsible for ensuring that the day-to-day management of doctors within King's Critical Care runs smoothly and efficiently. You'll coordinate resident doctor rotas, manage recruitment and onboarding, and maintain accurate workforce information to support safe staffing. You'll be trusted to handle sensitive queries, anticipate gaps and issues, and communicate clearly with clinical and management colleagues. You'll maintain accurate workforce data, monitor annual and study leave, and help ensure compliance with Trust and national requirements. You'll use systems such as Excel, Lists, HealthRoster, Trac, Teams and Microsoft Officeand you'll be focussed on continuous improvement in efficiency and reducing admin burden on our clinicians. Working closely with clinical and operational teams, you'll communicate clearly, anticipate issues and find practical solutions to keep services running smoothly.

This role is for someone who takes pride in getting the details right and fosters teamwork and clear communication. The position demands reliability and consistency ensuring that operational processes run smoothly so clinical teams can focus on delivering exceptional care.

  • A good standard of English to O level/GCSE (A-C grade) or equivalent, and ability to demonstrate both excellent written and verbal communication skills.
  • RSA III /OCR qualification or equivalent knowledge and skills.

Knowledge and Experience

  • Advanced level of IT literacy with experience of using a range of IT applications.
  • Good understanding of Medical Staffing and Human Resources policies and procedures
  • Experience in co-ordinating complex activities which include multi disciplinary meetings, training programmes, workforce planning.
