Job summary
We are looking for an enthusiastic and well-organised Assistant Pathway Coordinator to join our busy Rheumatology service at Queen Mary Sidcup Hospital & Orpington Hospital . You will be responsible for providing an effective support service to the department and Consultant team along with supporting the Service Management team with the EIA pathway.
This post offers an excellent opportunity for an enthusiastic and conscientious individual to be a part of a busy team. The work involves ensuring EIA patient are being booked new and follow up appointments within a timely and meeting the requirements of the Best Practice Tariff, audited nationally. The role also involves typing ad hoc clinic letters, checking and printing letters from the Dscribe system, supporting the Consultant phones, booking outpatient appointments, liaising with internal as well as external providers. You will be dealing with incoming queries and day-to-day administrative duties. You will also be expected to cross-cover for the rest of the team as and when necessary.
The successful candidate must have experience of performing administrative duties, preferably in an NHS or private hospital setting, as well as excellent communication and organizational skills, be able to work well in a team and take instructions from several sources. We are looking for someone who can multitask, have strong admin abilities and can prioritise their own workload.
Main duties of the job
KEY RESPONSIBILITIES:
- Ensure EIA & GCA New and follow up patients are being booked a new appointment and meeting the requirements of the Best Practice Tariff, audited nationally
- Deal with post and referrals on a daily basis, opening/distributing as appropriate, understand its content and take appropriate action, particularly in the absence of the consultant.
- File correspondence, investigations etc in the appropriate section of the medical records notes.
- To type letters/reports/administrate for outsourced work, ensuring that quality targets are met. Accuracy and time frames are to be met as required.
- To undertake any other duties, required by the Supervisor/Manager, appropriate to the grade and relevant to the post.
- Ensure notes retained in the office are tracked in accordance with Trust procedure
- Check and print DScribe letters
- Monitor and provide RTT information to Senior Service Manager as and when required
- Answer the phone and deal with queries under Band 4 guidance
- To maintain a full and comprehensive knowledge of medical and drug terminology, theoretical knowledge of procedures carried within all specialties in the department.
- Share responsibility for dealing with any queries received into the service via email, telephone, written correspondence and in person. Action requests for appointment cancellations and rescheduling on PIMS
- Understand the rheumatology prescription pathway providing support when required

Administrative duties:
- Use a computer for word processing, together with full knowledge and understanding of the Patient Information System to input and retrieve information as required.
- Maintain a high standard of accuracy and quality of work.
- Prioritise work on a daily basis to ensure that deadlines are met and urgent matters receive appropriate action.
- To carry out general administrative duties such as photocopying, sending and receiving faxes and opening of the post.
- Undertake other duties as requested and appropriate to the role and/or as delegated.
Communication:
- Proactively manage phone calls and voicemail systems, dealing with patient queries in an efficient, informative and caring manner; and calls from healthcare professionals who require assistance or information for their patients care.
- Demonstrate excellent communication and interpersonal skills including the ability to exercise diplomacy.
- Maintain absolute confidentiality regarding all matters relating to the service, including but not limited to patient information.
- Appropriately receive, re-direct and make telephone calls to and from the department as required.
