Job summary
We want our people to feel valued, motivated, engaged and well led; this role supports the Apprenticeship Team Lead in achieving this through the delivery of our Apprenticeship strategy.
This role supports the Trusts Apprenticeship and Work Based Learning offer, by supporting the approach to apprenticeships programmes and placements to best meet the skills and talent needs of the Kings College Hospital and ensures best value return from the apprenticeship levy contribution. The post holder will provide vital administration support to the Apprenticeships team, ensuring all data held on our apprentices remains accurate and up to date. The Apprenticeship Administrator will be responsible for maintaining records on our DAS (Digital Apprenticeship Service) system and our trackers.
The post holder will support the Apprenticeship Team Leader to organise and promote any Apprenticeship events and information session across all Trust sites and at external venues. The post holder will be supporting the Apprenticeships team leader with the delivery of the promotional/marketing strategy to drive an increase in apprenticeship applications and delivery across all five Trust sites, and to help with engagement events at local schools and colleges, amongst other venues
The role will be a very important part of the trust aim to have 500 apprentices by late 2024
Main duties of the job
To support the smooth running of the Trust's apprenticeship service.
Looking after both internal and external learners, as well as advising trust managers on all elements of the apprentice service and life cycle.
Liase with apprentice providers, ensuring they give us up to date reports, and making sure they are OFSTED approved.

- To provide comprehensive, administrative support including day-to-day management of the DAS.
- Be one of the first point of contacts for the apprenticeship team with excellent knowledge of Apprenticeship rules and regulations in line with the ESFA funding rules, be able to advise on how apprenticeships work, and be able to support with what apprenticeships are the best fit within the organisation.
- Support Apprenticeships in the implementation, procurement, quality assurance and evaluation of the apprenticeship offer to support business objectives.
- Maintain apprenticeship records, including the Apprenticeship Tracking system, producing reports to monitor enrolment, completion rates, attrition and Levy usage.
- Support the implementation of relevant policies, procedures and guidance.
- Data analysis and prepare regular reports on performance of various Apprenticeship programmes, achievement against agreed KPIs and programme objectives.
- Create and maintain an up-to-date database of Functional Skills learners and completions
- Liaise with our approved training providers and other stakeholders on the coordination of Apprenticeship programmes
- Organise and promote Apprenticeship information sessions and marketing events to the Trust.
- Organise and run information days for prospective learners and support the recruitment to various Apprenticeship programmes
- With the support of the Apprenticeship Team lead, maintain a communications plan to encourage staff to undertake apprenticeship programmes
- Work with a continuous improvement mind-set and a can do approach to ensure L&OD delivers value through its services.
- Support Work Based Learning where required
- Provide cover, when needed for the Trust Learning & Organisational Development Learning Centre reception desk as required.
- Be a supportive and active team player who advocates for Workforce across the Trust
- Actively engage in on-going personal learning and development
