Job summary

Working Part time: 30 hours per week

We are looking for an enthusiastic Medical Education Administrator with a positive attitude and a willingness to learn to help us provide a first-class administrative service.

The post holder will be required to provide administrative support to the Medical Education team and tutors who together coordinate undergraduate and postgraduate educational programmes and placements for medical students 2, 3, 4 and 5 plus student PAs 2 and 3.

Main duties of the job

1. To support the coordination of programmes/clinical placements of education for undergraduate and postgraduate education and ensuring the medical education diary is kept up to date with all educational sessions. This will often involve liaising with a number of different departments and requires organisation to ensure all mandatory sessions take place.

2. Input and monitor attendance, including teaching sessions on to relevant databases and provide data for analysis (ESR, Net 2). This will often involve using own initiative, tact and discretion to discuss attendance with students and knowing when to escalate.

3. Collate and summarise assessments forms using software relaying information to tutors in a timely manner. Keep accurate records of attendance ensuring registers are available. Update SOPs as required.

About us

The Countess of Chester Hospital NHS Foundation Trust provides services to West Cheshire and to Welsh patients covered by Betsi Cadwaladr University Health Board. The Trust works collaboratively within the wider Cheshire and Merseyside Health and Care Partnership. Its services are provided from three locations:

  • The Countess of Chester Hospital: providing 438 general and acute beds
  • Ellesmere Port Hospital: providing 56 beds as a rehabilitation, intermediate and outpatient facility
  • Tarporley War Memorial Hospital: a base for community services which serve the local rural population.

The Trust employs over 6258 staff (headcount) which includes temporary bank staff and provides acute emergency and elective services, primary care direct access services and obstetric services to a population of approximately 407,000. This includes 357,000 residents in Chester and West Cheshire which includes Ellesmere Port and Neston as well as the Deeside area of Flintshire which has a population of approximately 50,000.

The Trust is a busy district general hospital and in 2022/2023, there were more than 503,342 patient attendances (inpatient, outpatient and diagnostic) ranging from a simple outpatient appointment to major cancer surgery. This is an increase of nearly 10,000 compared to the previous year when there were 494,387 patient attendances.

  • NVQ level 2 or 5 GCSEs or equivalent which must include English Language and Maths at Grade C or above

Knowledge and experience

  • Currently working or has had very recent experience in an administrative position in a busy office environment.
  • Experience/enjoyment of working with young people between the age of 19 and 25 ideally in an educational environment.
  • Demonstrate previous experience of prioritising work and responding flexibly, particularly in respect of administration processes, unexpected changes and working to deadlines

Desirable

  • Knowledge of the University Medical curricula and the Foundation Curriculum.
