Job summary
To provide a comprehensive, efficient and effective administrative service to the Safeguarding Team. The post holder will demonstrate an ability to communicate with a range of people on complex safeguarding matters and issues and will be able to provide minutes of meetings.
Main duties of the job
- Provide an administrative secretarial and clerical service to support the safeguarding team ensuring that letters, e-mails and reports are accurately produced within agreed timescales, data is input to required standards and an electronic filing and retrieval system is maintained.
- Possess a knowledge and understanding of medical terminology.
- Responsible for the processing of incoming and outgoing correspondence including prioritising, tracking, sorting and transferring as necessary.
- Maintain and update appointment diaries, message books to assist efficient operation within the Safeguarding Team.
- Arrange meetings, workshops, training events, conferences.
- Produce and distribute training materials and informative literature for the service
- Contribute to the ordering of stationery supplies and associated procedures.
- Participate in the local induction of new staff.
- Recognise and respond appropriately to the urgency of situations, reporting concerns to the Head of Safeguarding, Named Nurses / Nurse Specialists.
- Maintain and update the Safeguarding websites.
- Contribute to the effective and efficient use of resources.
- Contribute to the continued improvement and quality of the Administrative Support Service.
- To undertake any other delegated duties as appropriate and commensurate with the post.
