Job summary
The post holder will be required to provide a welcoming, professional and courteous service to patients and visitors who visit the midwifery centre based at Louth County Hospital. This customer facing role will be instrumental to the efficient running of the midwifery centre's across the Trust.
Post holders will be required to assist patients and visitors using a variety of communication methods and ideally have experience in using SystmOne and be computer literate.
To be able to provide a robust service; the post holder may be expected to work on a rota basis ensuring the service is appropriately covered at all times across a five day week. The post may also involve working at other midwifery and hospital bases across the Trust.
The post holder maybe responsible for agreeing appointment dates with patients for elements of their care and will be responsible for outpatient reception duties.
It is vital that patients are appropriately tracked through the process to ensure they receive care at the appropriate times, therefore, there will be an element of validation and auditing required to ensure patients are treated in a timely and efficient manner.
The nature of this post requires the post holder to have a high level of tact and diplomacy as well as strict adherence to the rules of confidentiality.
Please be aware that this post is based at the midwifery centre based at Louth County Hospital.
Main duties of the job
To provide a full reception cover, offering an efficient, polite and courteous service topatients and visitors to the departments.
To manage and action clinics in a timely manner using SytemOne. Ensuring completion and audit process of clinics and further appointments have been received.
Provide patients with any required documentation, information leaflets, directions etc.
Highlight any issues or concerns to the line manager and community manager.
Prioritise workload on a daily basis, referring to line manager and other colleagues for guidance as necessary.
Liaising with external agencies (e.g. social services, general practices etc.).
Responsible for retrieval, movement and management of health records, aided by tracking systems ie, Case Note Tracking (CRT), in accordance with Trust policy, including resolvingissues of missing notes.
Liaise with the appropriate clinical staff and clerical staff regarding DNA's and cancellations,taking appropriate action to ensure patients are merged in accordance with the Trust's Patient Access Policy.
To deal with general enquiries, including telephone calls relating to patient admissions andappointments. Deal with telephone queries promptly and efficiently, ensuring comprehensive information is captured when taking messages for other members of the team.
