Job summary
The OD Projects Administrator- EDI provides day to day project and administration support to the Trust's Organisational Development team. Working within team and Trust policies the post holder will work autonomously and manage their own workload within agreed team project deadlines. Support will always be available from the respective Project Lead/Service Lead for complex matters.
The post will be to maintain the various IT databases and administration records, the team's various projects and act as administrator/secretary to various OD-led committees. The post holder will arrange meetings, distribute meeting/project documentation, undertake project fieldwork (surveys and listening/diagnostic exercises) and support delivery of training courses including securing training venues. The post holder will act as the first point of contact for staff and managers. As such the post holder will be expected to display excellent customer service and communication skills at all times.
Main duties of the job
Supporting the EDI strategy, reporting to the EDI Projects Officer, the post holder will:
- Design and undertake non-complex bespoke staff surveys in support of EDI projects, showing tact, diplomacy, and effective communication skills to motivate and encourage staff to participate in these surveys.
- Provide administration support for the monthly EDI Team meetings, circulating the agenda for agreement, distributing meeting papers, taking key action notes and updating the teams 'Action Log' and 'Annual Planner'
- To produce the monthly staff networks attendance reports, inserting data into SPC charts and producing first line data analysis for the EDI teams
- To support the EDI Team's running of the Trust's HWB & EDI monthly meeting, agenda drafting, minute taking and distribution as well as meeting set up and attendees liaison.
- To support the OD/EDI team's casework to support teams wishing to develop and to resolve problems including conflict. This will involve providing support to the team running staff/team build events by collating survey information, preparing event materials and constructing PowerPoint presentations etc.
- Attending staff engagement and EDI-led training events to support the facilitator in running them by providing administration support.
- Support the EDI Lead in monitoring and reporting on progress on the equality objectives, including supporting the implementation of WRES and WDES action plans.
