Antenatal and Newborn Screening Assistant

Job summary

An exciting opportunity has arisen for an administrative role within our Maternity Screening Team.

Our maternity services here at Warwick hospital over care for over 3000 births a year. We are a dynamic and diverse team helping to support the safe provision of care to mother, babies and families.

We are looking for a motivated, interested person to work collaboratively and in partnership as an integral part of the Screening team within midwifery.

You will assist and support the Screening Specialist Midwives in the care of the mother and baby throughout pregnancy and the postnatal pathway.

The post holder will be required to produce work to a high standard and in a timely manner.

We are looking for an individual with good organisational and interpersonal skills who is highly reliable and who can offer support to enhance our service.

Main duties of the job

Provide clerical and administrative support to the antenatal and new-born screening team

To input, maintain and retrieve data from a variety of databases

Job responsibilities

Be able to deal with routine enquires and take actions, liaising with others as appropriate, working on own initiative but with access to screening midwife for escalation if needed.

Be able to communicate effectively with staff, patients and/or external organisations using appropriate methods, understanding the need for confidentiality and sensitivity.

Working with families in emotionally challenging situations and be able to provide support and escalate accordingly

Be responsible for maintaining confidentiality of information about patients and staff and Trust business in accordance with the Data Protection Act.

Provide administrative support for the ANNB screening coordinator including meeting preparation and minute taking.

Responsible for arranging local and local maternity neonatal system meetings as required by screening lead.

Responsible for answering telephone enquiries and refer on to ANNB team if escalation required.

To keep databases and reports for screening and monitoring up to date.

First point of contact as failsafe officer for all antenatal and newborn screening programmes

To assist the screening team in ensuring that screening samples are requested in an appropriate manner and a conclusive result is obtained for the woman.

Be responsible for ensuring electronic records are updated for first and second trimester screening results.

To record any abnormal results telephoned through to the screening office, and then highlight to the ANNB screening coordinator, to avoid delay in action

Responsible for organising and maintaining the healthcare records of all women accessing the maternity services who require input from the ANNB screening service.

Prepare documentation in preparation for consultations and referrals to external organisations

Develop, maintain and review clinical repeat sample databases to assist the screening co-ordinator in her role of monitoring the effectiveness of the screening programmes.

Utilise relevant IT systems both Trust and external to ensure all the relevant patient data is updated, collated and inputted accurately.

Utilise Lorenzo system to provide administrative support as required

To set up and maintain a process to ensure all maternity filing (including results, correspondence and reports) are accurately and appropriately archived in the health care records for all areas of the Maternity Services

Review administrative role and propose changes to working practices that will improve patient experience.

Follow up on missed antenatal screening blood tests, including arranging further appointment and contacting women as required

Collect and submit data to the National Congenital Anomalies and Rare Disease Register (NCARDRS) as required.

Send correspondence to primary care/referrer and patients regarding appointments, results and follow up care following instructions from ANNB screening team.

To scan correspondence on to the electronic Maternity System for all areas of the Maternity Services

Prioritise daily tasks to achieve timescales set nationally as well as locally

To ensure all stationery are ordered when needed

Manage own workload, to be able to meet deadlines and have an ability to prioritise work according to differing demands.]

To have a confident and committed working approach to all duties.
