Job summary

This is an opportunity to join the Childrens ADHD team as a Medical Secretary (This could be based at Liskeard, Truro or St Austell)

  • To provide a high-quality secretarial service to the ADHD lead and medical team.
  • Communicate/coordinate with General Practitioners and other healthcare professionals regarding patients, referrals, prescriptions, and Mental Health Act requirements.
  • Direct communication with patients and resolving their problems and queries as appropriate.
  • Acting as a pivotal role for all communications, some of which will be of a distressing nature and may require emotional effort by the post holder.
  • To maintain confidentiality at all times and sensitivity when dealing with contentious and complex information.
  • Demonstrate empathic, reassuring and persuasive skills when dealing with vulnerable, distressed and suicidal patients and signpost to appropriate team member.

Main duties of the job

Administrative

  • Ability to plan, organise and prioritise own workload which can be pressured and require a high level of concentration.
  • Coordinate and organise action arising from correspondence and ensure prompt and efficient response, as required, by the ADHD Lead. Coordination with other professionals, outside Agencies, legal staff, Trust staff etc.
  • The arranging of meetings, clinics, etc., coordinating and producing correspondence e.g. discharge letters, prescriptions within Trust key target times, and dealing with relevant case notes.
  • Responsible for up-to-date maintenance of diaries for medical team.
  • To co-ordinate and organize Access to Health records requests
  • To update and record information onto the Trust's electronic systems and unit databases as required within Trust key target times.
  • Maintain waiting list/prescription database to ensure clients are seen within key target times
  • Provide cover/cross cover (e.g. taking telephone messages for colleagues at other bases) in the absence of other secretarial colleagues as required to maintain a service to patients.
  • To be able to be flexible and travel to clinics as and when required
  • To be able to appraise and supervise other admin as agreed by the Admin Lead.
  • To be able to allocate admin support and admin activity processes as appropriate.
  • To work according to Trust policies and procedures.
  • Undertake audits/surveys as necessary.
  • To act as an information resource for other members of the team
