We are seeking a dedicated Administrative Support Officer to join our Rehab and Adult Therapy Services team, working across St John's Therapy Centre and Queen Mary's Hospital. This is a fantastic opportunity to play a key role in supporting our multi-disciplinary teams, including Physiotherapy, Occupational Therapy, and Speech and Language Therapy.

Main duties of the job

  • Process referrals and input patient data into electronic record systems and Microsoft applications (e.g., Excel databases).

  • Manage telephone queries from patients, staff, and external stakeholders.

  • Book and coordinate appointments across services.

  • Provide administrative, clerical, and reception support to community-based therapy teams.

  • Act as a vital liaison between patients, clinical teams, external partners, and internal departments to ensure seamless service delivery.

Job responsibilities

Main Duties:

To work under own initiative and without supervision to provide comprehensive and effective support to the Rehab & Adult Therapy services, a multi-disciplinary team, in order to support clinical service delivery and improve patient outcomes.

To have highly developed telephone communication skills to receive and make calls to book appointments and signpost the patient to the most appropriate service or component of the R&AT

To use good written communication skills to communicate with service users.

Be part of a multidisciplinary team committed to providing the best possible service.

To have good IT skills to maintain service statistics and activity data.

Comply with Trust policies and procedures

To participate in appropriate CPD opportunities within, and external to, the team including in-service training, case management meetings and supervision sessions.

To independently carry out planned tasks and to support clinical service delivery as directed by the Management and Operational Coordinator or a qualified team member.

To work in any relevant community setting including St Johns Therapy Centre, in patients own homes, day centres, their local environment, including outdoors, public transport networks, and within the therapy centre or Queen Marys Hospital.

To work as part of a multidisciplinary therapy team delivering a community based rehabilitation service for clients with of conditions under the supervision of qualified therapists.

To, when required support clinical work by assisting colleagues with direct care tasks when needed for example supervising groups, supplying walking aids, meeting clients, including working without supervision.

To report any identified progress, deterioration or other significant changes in a clients condition or performance to the relevant therapist involved in the clients care in a timely manner.

To maintain timely, accurate and concise records which meet the documentation standards of the service.

To empower clients to take responsibility for self-management during treatment period and following discharge, using knowledge of local resources to facilitate this as appropriate.
