The post holder must be available to work 35 hours per week. This post holder must be reliable and flexible. The post holder may, infrequently, be asked to provide administrative support for other services
The successful candidate will be responsible for carrying out a wide range of secretarial and administrative functions. These include dealing with direct enquiries vis email, on the telephone from patients and GP's and any other telephone enquiries, maintaining the Consultants diaries, arranging clinic appointments, taking minutes, typing clinic letters, entering appointments on the Trusts patient record system and cancel and rebook appointments.
Main duties of the job
- To provide efficient and high quality secretarial and administrative support to the Urology Consultant body and Clinical Nurse Specialists.
- To demonstrate excellent communication skills to allow the highest level of support to consultants and supporting teams.
- To liaise closely with and be an active and supportive member of the wider team within the Urology Department.
- To be able to use the hospital booking software and electronic patient records
- To action queries received in the shared Urology NHS email inbox
- To deputise for ASM's when required
- To liaise with various internal and external colleagues to ensure smooth processes are followed for patients
- To turn around letters in a timely manner processing on Powerchart and DIT3
- To process Consultants, leave requests
- To support the management team in achieving the departments KIP's
- To support the service with booking escalation and queries from cooperate outpatients.
- Where required, to deal with private patients and overseas visitors in accordance with the working methods of the relevant consultant(s) and in line with Trust systems and policies.
- To ensure that stationery and office equipment is used efficiently, and that any needs are brought to the attention of the appropriate personnel.
- To attend secretarial team meetings, and to bring serious issues to the attention of management
