Job summary
To manage to the Vitali clinic appointments and associated activity related to this to ensure the smooth running of the clinic and maximise the appointments available
- Greeting patients and coordinating the smooth running of the Vitali clinic
- Arranging appointments, preparing electronic medical records for clinics, arranging transport and interpreters for patients
- Working in a small team with flexibility and able to manage change and challenges
Main duties of the job
- Prioritise daily workload to ensure that all urgent matters are dealt with and liaise with the clinic manager to ensure that high level of clerical support is available
- Data protection needs to be adhered to at all times and patients records need to be kept up dated at each clinic visit.
- Creation of new electronic clinic notes for new primary patients
- Ensure all clinic notes case notes are available and ready for clinic
- Prompt answering of telephone enquires
- Ensure accuracy and timeliness of information at all times
- Use secure means to transfer electronic medical records to other prosthetic centres
- Preparation of medical records for clinics ensuring that the medical records meet requisite standards for clinic preparation within agreed timescales.
- Tracking of medical records to their correct location.
- Liaising with patients and staff.
- To be competent in the use of Rehapp and iclip and any new systems that may be introduced as appropriate
- To be responsible for ensuring that any cancellation of review clinic is done correctly and ensuring that all patients have been notified and reallocated another appointment date and time
- Develop, promote, facilitate and participate in the supervision of self and be professional at all times when dealing with the general public.
- Work closely with the rehabilitation and prosthetic reception teams and wider prosthetic rehabilitation teams
