Job summary

QEH Respiratory Team in Woolwich are looking for a full time Pleural administrator to support Respiratory Team.

The post holder will be booking service assistant who will to provide a first class one-stop shop for appointments for elective care to: GPs, Healthcare professionals, patients and their representatives. They will work within the respiratory team making appointments, arranging procedures, pre-assesment appointments and dealing with all correspondence. This involves a comprehensive knowledge of the different departments within the Trust and who is responsible for the areas.

As such the post holder will be part of a team that incorporates booking appointments and dealing with patient queries relating to appointments and future appointments on the hospital (PAS) and the e-Referrals systems across Lewisham and Greenwich Trust.

When booking appointments, a wide range of communication skills will be used in order to provide a patient centered approach. The post holder will be sensitive to the needs of each individual, responding differently to a wide range of needs.

To ensure the smooth running of the pleural service and provide an efficient service by ensuring all queries are dealt with in keeping with the Department of Health's guidelines concerning wait-times.

There will be a training programme to ensure that you are supported to deliver confidential quality care.

Main duties of the job

Key Result Areas & Performance:

  • Managing and arranging patient appointments on the Trust's PAS (iCare)
  • Administration of the Pleural service
  • Booking patients diagnostic procedures - liaising with the Lead Pleural Consultant/clinical nurse specialist/patient
  • Using the Trust's PAS system (iCare) on a daily basis to maintain patient details
  • Retrieving patient results/diagnostic outcomes
  • Ensuring that all clinics/procedures are cashed up
  • Dealing with telephone enquiries from GP's/patients/carers
  • Administration of Pleural Clinic correspondence
  • Ordering Pleural office/diagnostic supplies
  • Directly dealing with patients when attending for diagnostic procedures
  • To monitor clinicians annual leave, re-arrange clinic lists and liaise with the Associate Service Manager to cancel/arrange cover when necessary
  • To make appointment for patient's pre-assessment appointments
  • Ensure all procedures are booked/cancelled correctly recorded and new admission dates are offered in line with the Trusts Access Policy
  • Managing own workload and time to support the Pleural Team
  • Dealing sympathetically with anxious, upset and nervous patient
  • Greet patients/family/carers in a friendly welcoming manner, providing appropriate non-clinical guidance and support when attending for diagnostic procedure
