Medical e-Rostering Manager

Job summary

The post holder is vital to the management and support of the medical e-Rostering function across LGT. The role requires great leadership, project management and change management expertise to deliver a robust medical e-Rostering service in accordance with best practice. The role also includes the development of a robust e-Rostering business as usual (BAU) - function to support the medical staff within the Trust and will be crucial to lead the BAU functions.

Main duties of the job

You will lead in the design and successful delivery of the medical element of the eRostering Programme and provide effective leadership for the medical e-Rostering team to effectively deliver electronic rostering for the medical staff.

The postholder will create and maintain stakeholder relationships, internally and externally, communicating on multiple levels across the organisation and providing leadership to the e-Rostering medical team.The post holder has responsibility for driving forward continuous improvement of the Optima system and maintenance of the electronic rostering (e-Rostering) system for Medics inassociation with business requirements across the Trust.

The post holder will be responsible for reporting any systems issues to the software provider.Also, to support users at all levels and make recommendations to remedy situations as they arise.

The role has responsibility and oversight for ensuring a customer focused support to Optima system (health roster) users, providing advice, instruction and training on e-Roster systems in regard to system functionality and Trust policy.

Manage the overall delivery of good rostering practices and ensure that the rosters for medics meets service needs. Where there are changes to budgets identified, reporting findings in partnership with the division, HR and Finance to identify issues/ differences, propose solutions and, where necessary, apply local adaptations to meet the need of the users across the Trust

Work across the system to deliver support and understand the inter-dependencies between finance, Workforce team and payroll systems and the impacts before changes to rosters are made.

To identify local and national good practice in e-Rostering delivery particularly related to medics, ensuring information and learning is disseminated effectively and proposals made for local adoption. Be confident in challenging existing practices, ensuring progressive solutions, which take into account new models of best practice and best use of resources.

Responsible for ensuring rostering changes do not impact negatively on each unit. Immediately referring to Managers and divisional leads where it does impact negatively.

To be able to articulate the compelling need to change and the value of e-Rostering in communications with all levels of staff. To act as an enabler and change agent, leading the team to influence, negotiate and manage change in a proactive and positive way.

Responsible for overseeing the training of managers and staff in use of the system and the point of escalation for training issues that arise. Provide support to the appropriate service managers/ rota coordinators when issues relating to duty rosters arise.

To lead in providing, receiving and analysing complex roster information and to find solutions or resolve barriers to understanding.

In conjunction with the service managers/rota coordinator and Finance, assist with the regular review of medics establishment.

Responsible for the preparation of KPI reports on a monthly basis, for evaluation of the results and for working with the Assistant Director of Medical Workforce & Medical Education to make recommendations where necessary based on the results.

To support the development of policies and procedures in relation to medical rostering.

Evaluate and assess the softwares benefits, producing reports where necessary and reporting back to the Assistant Director of Medical Workforce and Medical Education.

Work closely with the Trusts Temporary staffing team to use the e-Rostering system to maximise the efficient use of Bank and Agency staff for medics.

  • A proven track record of Project Management in an NHS environment,

  • Demonstrable previous success in leading and delivering change and performance with and through teams, by engaging them in the strategic direction and delivery plans, establishing clear work priorities with them, delegating effectively, ensuring a capability to deliver, monitoring performance and giving feedback;
