Job summary

To support with the provision of high quality patient centred care through the supply of high quality temporary workers with the appropriate professional skills, experience, attitudes and behaviour for the role they are undertaking. Working in conjunction with other members of the team to ensure the smooth administration of the service, meeting the temporary staffing requirements of the Trust. To administer bookings, invoices, timesheets and any other relevant administrative tasks efficiently and effectively

Main duties of the job

Communicate regularly with our service users.

Liaise with staff at all levels of the Trust.

Provide detailed, accurate and high level trend analysis on all Temporary Staffing Use.

Analyse the systems complex financial spend data to support local managers and the head of temporary staffing with cost reduction initiatives.

Ensure demand controls are adhered to.

Maintain reliable and accurate records and ensure Database information is updated when required.

Prioritise daily workload ensuring all deadlines are met.

Ensure accurate and up to date records are kept of all information that will be required by the Temporary Staffing Manager for report/audit purposes.

Be prepared to be seated for frequent prolonged periods.

To apply best practice to long periods of VDU use.

To work as part of the wider team, but also independently using your own initiative.

Able to remain calm in stressful or confrontational situations, which are common place within this very busy environment

Experience of dealing with people both internal and external

Working as part of a team and act on own initiative

About us

Temporary Staffing Services are recruiting Band 3 Temporary Staffing Coordinators to work on our bank. For this role you will need extensive knowledge of flexible worker recruitment, terms of engagement, Agency Worker Regulations, and be prepared to work at a very fast pace to support the provision of a fully comprehensive and high quality Internal Bank Service. You will be required to work flexibly as part of a large multi skilled team of Coordinators and administrators responsible for the recruitment, management and coordination of over 4,000 bank and agency workers who currently support the Trust within all clinical & non clinical areas. For this you will need exceptional organisational skills and the ability to adapt at short notice. You must be able to demonstrate, and evidence, experience and an in depth knowledge of Temporary Worker engagement. You will be expected to immediately participate in all aspects of the Temporary Staffing Operational functions with minimal direction. For this you will need indepth knowledge and experience of Temporary Worker Booking and Worker Management Systems to include HealthRoster/Bankstaff/ESR. We operate a 7-day service, so you may be expected to work weekends and evenings. These posts will based on Queen Elizabeth Hospital site, but cross site working may be required. The Trust operates a free shuttle bus service for this.

To participate in the recruitment and selection of temporary workers To use the computerised recruitment package (NHS Jobs) for each stage of bank recruitment Access the ESR (Electronic Service Record database), changing/updating worker details where necessary. To ensure that all employment checks applicable to all temporary workers have been undertaken and are up to date in line with the Trusts Temporary Workers policy; at the point of recruitment, prior to placements and regularly monitored thereafter.To provide support and assistance with monitoring the performance of temporary workers To assist with the training and development of bank workers as appropriate To work with the Senior Bank Administrator to ensure bank workers are fully compliant with statutory and mandatory training. To regularly monitor and review compliance, with issues of non-compliance highlighted to Senior Bank Administrator as appropriate. Ensure all personal files for bank workers are kept up to date and complete. To assist with the development of administrative systems and processes that promotes the effectiveness of the Temporary Staffing Service To support the processing of agency worker invoices Assist in the training and development of bank workers. Ensure the Temporary Staffing Manager is kept informed of all current issues regarding the use of bank/agency workers and the service provided. The post holder is required to work flexible shifts outside of standard office hours, including evenings and weekends.

To ensure the computerised bank information system is used efficiently to maximise effective use of bank workers.

To ensure that standards are compliant with i.e. Working Time Regulations, Professional Registration etc.

Assist the Temporary Staffing Manager with the development of systems for monitoring the performance of bank/agency workers.

To assist the Temporary Staffing Manager with the development of new projects.

Be prepared to undertake personal development training in order to keep skills up to date.
