We are seeking a Deputy Phlebotomy Manager to join our busy, friendly Phlebotomy service based at University Hospital Lewisham.

This role exists to support excellent clinical patient care and to support the Phlebotomy Service Manager to develop, implement and inspect all the areas of practice. The post holder also has day to day supervisory responsibility for inpatient, outpatient and community phlebotomy teams.

The post holder will be responsible for the day to day management alongside the phlebotomy management team giving directions and guidance and overseeing training and development. The post holder will be responsible for the allocation and placement of the team between community sites, ward areas and OPD, considering a good balance of the skill mix required.

The post holder will be required to promote best practice according to Trust's Policy and will be expected to promote and utilise all relevant policies related to the role both Administrative.

Main duties of the job

  • GP referrals in community clinics

You must be confident in leading a team with a minimum of 1 year's phlebotomy supervisory experience

You must be IT literate, be able to use a keyboard and worked with computer packages

You must be energetic and hard working

You must have paediatric phlebotomy experience and be able to work on the wards when required

The successful applicants will be a proactive team member who can demonstrate efficient organisational and prioritisation skills in order to contribute to the smooth effective operation of the phlebotomy service.

Working hours will be on a rota basis 0800 to 0800 Monday to Sunday. Therefore you must be flexible to be able to cover these hours in the future if successful in the role.

Key Responsibilities:

  1. Ensuring that the phlebotomy team consistently deliver an excellent clinical patient service that is cost effective and patient focused.
  2. Ability to communicate with diplomacy, empathy, persuasion and reassurance to a range of patients, some of who may have language barriers.
  3. Monitoring patient flow and waiting times, co-ordinating team to ensure a steady flow throughout the areas of practice.
  4. Ordering weekly clinical and administrative supplies.
  5. Assist the manager by gathering relevant information for investigations re incidents or complaints.
  6. Responsible for producing rotas and management of the eRoster to ensure all areas are covered.
  7. To take responsibility for all new staff, to include induction, training and competency assessments, using your comprehensive theoretical and clinical knowledge of phlebotomy.
  8. Participate in audits by implementing, monitoring and collating data as required by the Outpatients management team.
  9. Monitor staff adherence to Trust and departmental policies, procedures and mandatory training, identifying any training needs and implement solutions or corrective actions, keeping Manager aware at all times.
  10. Responsible for training colleagues in processes and procedures including developing, updating and implementing task specific standard operating procedures. This includes new resources, undertaking any staff training and adaptation required.
  11. Regular monitoring of the teams performance against key performance indicators ensuring that under performance is reported and managed in accordance with Trust staff management policies, using motivational and persuasive communication skills.
  12. Regular monitoring of quality of customer care, ensuring high standards are delivered and maintained at all times and patient enquiries are dealt with efficiently, professionally and appropriately. This includes frequently walking around wards, outpatients department and visits to community clinics.
  13. Responsible for the fair distribution of work, ensuring a fair skill mix amongst staff, ensuring that all staff are flexible in their areas of work.
  14. First line management responsibility for phlebotomy staff, carrying out regular one to ones, team meetings, sickness and performance development reviews.
  15. Responsible for monthly audits in all areas of practice and capability to analyse and judge the results to propose and assist with implementation of any changes necessary.
  16. The post holder`s duty includes reporting statistics on patient attendance weekly and monthly.
  17. Participate in phlebotomy rota on a regular basis across all areas of practice to keep clinical skills and dexterity updated.
