Job summary

We are currently seeking a dedicated and experienced Paediatric Medical Secretary for a 12-month fixed-term maternity cover position at University Hospital Lewisham, part of the Lewisham and Greenwich NHS trust.

This role is pivotal in providing secretarial support to our Paediatric Ophthalmology service. The successful candidate will be instrumental in ensuring seamless continuity in both routine and specialist administrative functions, always prioritising patient care and efficient service delivery.

Main duties of the job

  • Act as a primary point of contact for consultants and the Trust, managing enquiries efficiently.
  • Handle correspondence using audio transcription technology.
  • Organise and support meetings, and manage minutes.
  • Maintain patient confidentiality and prioritize incoming correspondence.
  • Oversee patient records and use IT systems for checking patient details.
  • Co-ordinate and process medico-legal tasks.
  • Advise parents on medical tests and liaise for appointment rescheduling.
  • Undertake non-clinical typing tasks and work collaboratively in a team environment.

  • Produce and process clinical letters, sometimes of a sensitive nature.
  • Handle telephone calls with a patient-focused approach.
  • Maintain an effective filing system and manage post distribution.
  • Ensure timely availability of patient medical records for clinics.
  • Handle referrals, communicate clinic changes, and guide parents/carers about the patient pathway journey.
  • Assist in training new staff and support peers.
  • Comply with all Trust and departmental procedures and participate in performance reviews.
  • Undertake mandatory training as directed by the Trust.

Partnerships, Communications, and Relationships:The successful candidate will establish strong communication channels with internal teams including Clinical Governance, PALS, and IT. They will also liaise externally with other Trusts, Social Care, Schools, and Training Facilitators. In addition, they will use intranet and Internet resources for up-to-date information on safeguarding adults at risk and manage stationery requirements for the Paediatric Management Team.

  • GCSEs or equivalent
  • RSA3 Typing/Word Processing or other recognised qualification or equivalent experience.

Desirable

  • NVQ4 in admin
  • EDCL or similar IT qualification

  • Computer skills Excel , Word & Power Point
  • Experience of managing competing and varied demands
  • Audio Typing
