Job summary

We are seeking a proactive, organised, and customer-focused Facilities Co-ordinator to join our dedicated NHS Facilities team within Housekeeping Services. This is a key administrative role that supports the smooth running of this essential service at the Royal Brompton Hospital site.

You'll be the central point of contact for facilities housekeeping enquirers, helping to ensure our environments are safe, clean, compliant, and supportive of high-quality patient care.

Main duties of the job

The role of the Facilities Co-oridnator comprises the office functions for the Royal Brompton Housekeeping Department. These include the completion of salary timesheets, agency bookings and ratification, recording and distributing audit reports, the purchase of goods and materials in accordance with the Trust's Standing Financial Instructions and the completion of internal and external recharges for RBHH Housekeeping Services Department. Other duties include the liaison with both internal and external customers and staff, suppliers and the maintenance of all associated administration and filing that is generated.

Job responsibilities

Technical

Assist with the processing of requisitioning and ordering of supplies and expenditure for the Housekeeping Services Department.

To monitor and maintain compliance with Standing Financial instructions.

To record and process department recharges, accruals, and external income.

To provide audit reports, which are essential to performance monitoring.

To ensure that all photocopying is managed in an efficient and effective way.

To carry out the typing for RBHH Housekeeping Services Management

To coordinate data inputting of Housekeeping Services databases and spreadsheets, including agency, sickness/absence, annual leave, training and appraisal sheets.

To maintain the filing of the department in an efficient and effective manner.

To assist managers with the monthly manpower returns, clock cards and reports.

To coordinate stationary stock as and when required.

To ensure that Agency Staff time sheets are calculated and reported to Agency Staff Banks office.

To ensure that bookings for agency staff are correctly completed and sent to the Staff Banks office.

To update, record and distribute the weekly key performance data including sickness, annual leave, absenteeism, overtimes, & agency hours and audit scores.

To ensure that telephone enquirers from customers/users are dealt with accordingly.

Attend to all incoming and outgoing mail and to distribute information to colleagues accordingly

To raise DANs for contract customers every month ensuring that external income is accounted for.

To ensure that goods delivered are physically correct for quantities and quality and are checked against goods received notes.

To ensure all visitors, staff, and contractors are greeted and dealt with accordingly.

To be the first point of contact for the RBHH Housekeeping Services Department.

Personnel

To promote a good industrial relationship with staff.

To fully participate in all training programmes for Facilities Services staff.

To fully participate in staff development programmes.

General

The postholder may be required to work across both hospital sites.
