Job responsibilities

Communication

Develop high quality, up to date and easy to follow end user training materials using appropriate formats. This includes manuals, teaching aids, PowerPoint presentations, Quick reference leaflets, synchronous and asynchronous training packages. Gain sign off from subject matter experts prior to release.

Communicates highly complex work processes with knowledge of local workflows which may create contentious situations.

Be responsible for decision making processes which may require management of hostile or highly emotive workshops or meetings.

Guides staff on course of action to take during design of new patient pathways.

Develop and delivers formal and complex presentations for large groups of staff.

Deliver training and eLearning support as necessary on a one to one basis or in a larger group environment dependent on service requirements using a blended learning approach wherever possible.

Provide education and training to GSTT, KCH and its partner organisation ensuring you follow the Trust policies and protocols.

Actively participate in continuous professional development and take part in the Train the Trainer accreditation required by the Trust.

Attend and deliver refresher training sessions and in-person/virtual webinars as required.

Analysis and judgement

Ensure attendees are appropriately booked, slots on courses fully utilised and attendance records/training outcomes are recorded accurately and timely on the Learning Management System (LMS), working closely with other Trainers, Application and Configuration teams and the Training Administrator(s) as required.

Accurately update and maintain the LMS with course information.

Assess user competence during training identifying and taking action where staff fail to achieve the required level. Actions include completing a report or recording a risk.

Ensure both the Training Manager and/or appropriate line manager are informed and record using agreed processes.

Identify complex user queries and take appropriate action to resolve these in conjunction with colleagues/Digital Champions/Training Manager.

Fully participate in peer observations offering supportive and constructive feedback to Training colleagues.

Responsible for ensuring formative and summative competence assessments are developed for each course in line with adult learning styles for the relevant module that demonstrates achievement of course objectives and level 2 Kirkpatrick evaluation.

Management

Work in a complex and unstructured multi-disciplinary environment; be able to act with minimum guidelines. Be an expert in the application area.

Line management responsibility for a large team of credentialed trainers nearer the go live ensuring the quality and adherence to the standards, criteria agreed.

Work with Analysts and other Trainers to incorporate feedback from training sessions into future developments or make urgent changes to build as appropriate.

Assist with training colleagues in the application area and deliver specialist training when required.

Delivers specialist training and demonstrations to staff.

Planning

Project management experience or relevant experience is required to formulate the long term and complex training plans for the Trusts and its partners.

Responsible for the planning for the schedule large waves of Trust staff into appropriate training sessions for their role.

Ensure the training provides meets the needs of the service and can be delivered to the timescales agreed with the supplier in the Programme Plan.

Provide support based on expert knowledge of EHR applications/modules and operational processes in order to deliver high quality, effective and timely training to multidisciplinary end users.

Travel to required locations on Trust sites to deliver training and support to GSTT and its partner staff.

Setup IT training equipment at training venues (lifting and carrying is involved).

Provide cover in the event of sickness and/or annual leave to ensure the continuity of service is maintained across all sites and cancellation of training sessions are kept to an absolute minimum.

Respond effectively and within the Trust agreed target timescales to end user support queries logged on the IT Service Desk.

Policy/Service Level of Supervision

Support end users to achieve required competency of the required application(s), using pre-determined course materials. Where appropriate make EHR and/or local managers aware of areas of concern

In conjunction with the Training Manager, ensure effective training timetables are implemented along with robust processes for accurately recording and reporting user attendance.

There will be a requirement to deliver training outside of normal working hours, evenings and weekends.

Review and evaluate end user feedback identifying constructive ideas for improving future delivery/content. Ensure changes continue to meet business needs.

Produce and ensure personal course/lesson plans are relevant, up to date and in line with current practice and policies.

Maintain accurate training records for audit purposes. Extract and customise reports from the LMS for Service Level Agreement (SLA) and management purposes as required.

Physical skills

Advanced keyboard skills.

Advanced hands on knowledge/experience of devices in use in healthcare settings.

Ability to support floorwalking and onsite training activities.

Patient contact

Contact with patients is incidental, although there may be work required in clinical areas to understand current and proposed processes effectively.

Policy and Service delivery

Ensure compliance to programme changes and change control mechanisms.

Act as an ambassador for the Trusts EHR Programme at all times.

Research, Development and Testing

Successfully undertake Epic systems training and pass assessments/evaluation to become a certified/accredited Principal Trainer within a specified timeframe.

Keep up to date with new technologies and training methodologies and techniques through research or attendance at relevant National or Regional events/meetings and IT user groups.

Undertake external professional development training courses as required for the job role.

Financial

Responsible for the management of costs relating to training activities reporting to the Training Manager and Deployment leads.

Other

Handle change management issues professionally and sometimes in hostile or antagonistic situations where there is resistance to change.

Undertake additional, specific project work in support of the EHR programme under the direction of the Training Manager.

Frequent requirement for prolonged concentration when configuring the Epic system.

Provide support to end-users through regular meetings and by participating in a 24/7 and/or on call rota at go-live and during the subsequent optimisation phase.

Person Specification

Qualifications

Essential

• Degree in a subject which incorporates skills relevant to the post or professional experience, skills and training
• Epic Certificate in at least one Application
• IT Certificate in ECDL, CLAIT, BTEC, IBT, GSCE, and/or qualification in eLearning

Desirable

• Teaching Certificate, or experience in delivering training to adults learners within a hospital

Experience

Essential

• Experience as Principal/Senior Trainer (preferably NHS) - can provide specialist knowledge to other specialists/trainers.
• Theories and techniques in effective adult learning
• Delivery of training one to one and/or to large groups
• Working with staff from multidisciplinary staff groups

Desirable

• Experience of delivering training to colleagues or new starters within DTI, clinical or administrative department

Knowledge and Skills

Essential

• Excellent presentation, planning, interpersonal and communication skills (verbal and written)
• Expert User of Microsoft Office packages. Proficiency in standard computer packages such as Microsoft Word, Powerpoint and Excel
• Strong interpersonal skills, effective communication and the ability to lead teams and resolve conflict
