We are looking for someone to join our team in Pulross Rehabilitation Ward located in Brixton who has established administration skills, positive attitude and ideas, and who will be able to make this new role their own.

Main duties of the job

The duties and responsibilities listed below are representative of the Inpatient Ward Administrator role and its purpose within the service; they are not exhaustive and the post holder may be required to undertake additional or alternative administrative duties and responsibilities commensurate with the level of the post, to support the smooth running of the service. Successful candidate should note the ward clerk will be supporting in receiving deliveries and stocked away.

We are recruiting for 1 full-time role - Monday to Friday - 37.5 hours per week. Resumption time 08:30 am to 16:30 pm

This role is excellent for someone who is looking to develop a career in the NHS admin & clerical team.

We are looking for a dedicated and enthusiastic individual, with excellent customer service skills and good knowledge of IT systems. The ability to prioritise, organise and communicate clearly and effectively are essential for this role.

Job description

Job responsibilities

  • Ensure that the relevant electronic patient information system is kept up to date and as close to a live bed state as is practicable:
  • All patient admissions, discharges and transfers are carried out in an accurate and timely fashion. Particular attention must be paid to ensuring that:
  • All patient demographic data (address, postcode, GP, ethnic group /religious affiliation/support needs) are checked and any amendments/corrections are carried out in an accurate and timely fashion.
    • Maintenance of ethnic coding, monitoring and standards.
    • Correct clinician and specialty are recorded against the patient.
    • Correct sources of admission and discharge destinations are recorded.
  • Ensure that elective patients are removed from the Waiting List where appropriate (if treated for condition on Waiting List).
  • Ward liaison for electronic patient information system.
  • Ensure that all system users are identified and made available for training including new nurses.
  • Assist in the identification of hardware requirements (PCs and printers) for their departments.
  • Work with IT support reps to ensure that the system is working in key areas.
  • Support the dissemination all communications on IT systems to end-users.
  • Raise any operational issues with the IT team that may arise from their department.
  • Receive training on diagnosing and correcting end-user problems and issues, taking on a first-line support role for users in their ward, and flag any system set-up issues that may occur.
  • To ensure the notes are available on the ward within 24 hours of the patient's admission.
  • Receive and welcome patients/visitors onto the ward.

  • Responsible for monitoring and ordering patient information leaflets.
  • Organise patient transport around the hospital, on discharge and for outpatient appointments.
  • Take property and records of deceased patients to the Bereavement Office.
  • Answer telephones, deal with patient/visitor enquiries, and handle internal and external enquiries, appropriately transmitting messages. Please note that answering the reception telephone is not the sole reserve/responsibility of the ward clerk.
  • Issue in-hospital certificates as required.
  • Ensure HSA/Insurance forms are completed and sent to the appropriate office.
  • Make ward follow-up outpatient appointments as directed.
  • Deal with general ward correspondence, signposting as required.
  • Take patients' valuables to the Cashiers Office and arrange collection before discharge.
  • Report and record maintenance problems to the Works Department as specified, including contacting necessary agencies concerned with general unit maintenance e.g. window blinds, curtain tracking, security doors.
  • Order ward supplies e.g. stationery, beverages/food supplies including EPR disposables.
