An exciting opportunity has arisen for a highly driven and motivated individual to become part of the Medical Workforce department at one of the largest and most prestigious NHS organisations.

Main duties of the job

This post, Medical Honorary Advisor, is in the Medical Workforce Team, a specialist service aiming to provide high quality expert advice for Doctors and Dentists. The post holder will provide an efficient and accurate administrative processing service for the Honorary appointment processes for UK and international Medical and Dental visitors in order to ensure a high quality, effective, reliable and responsive service.

The post holder will ensure adherence to Trust processes, policy, legal and best practice compliance across a range of activities.

Job description

Job responsibilities

Oversee and act as the first point of contact for all Medical and Dental Honorary enquiries from Clinical Group managers and Honorary visitors providing advice and support on the Honorary processes and specific information regarding applications within the team remit, referring to Medical Workforce Planning Manager where necessary.

Manage and maintain comprehensive administration records of all Honorary visitors requested and applications, including MTI Honorary applications.

Provide clear guidance and communicate on who can apply for MTIs and where this is not appropriate as the subject matter expert.

Liaise with the Royal Colleges and Health Education England to coordinate MTI applications and submit the final pack to meet the criteria set by the Academy of Medical Royal Colleges (AOMRC) and MTI guidance.

Act as Trust authorised signatory as the final approver on behalf of the Medical Workforce as the Honorary and Trust Workforce lead.

Complete the AOMRC MTI starter pack for approved MTI Honorary visitor.

To advise Honorary visitors and Clinical Group/Directorate Management of the Honorary requests, stage of pre-employment checks and inform when visitors fail to comply with the honorary process in a timely manner.

Undertake and provide a comprehensive pre-employment checking process in line with the Honorary requirements/guidance. This includes following up references, Occupational Health clearance, Right to Work including ID check, DBS initiation and verification (when required), new-starter paperwork completed in an accurate and timely manner.

Provide guidance on visas to Honorary visitors and Clinical Group/Directorate Managers including drafting a support letter for visa applications for individuals who are overseas, if necessary.

Ensure all administrative activities related to the Honorary processes are timely and accurate.

Continuously communicate and provide advice to the Clinical Group managers, Clinical Leads and Honorary visitors where issues may arise and provide advice in line with Trust process and guidance for Medical and Dental visitors.

Develop strong relationship with the Clinical Group managers, Medical Directors Office and provide ad hoc inductions to new managers.

Support the Medical Workforce Planning Manager with reviewing of the Honorary process, implementing changes where needed

Meet the requirements of Service Level Agreements, addressing compliance issues, identifying problems and escalating where appropriate.

Monitor accurate and on time completion and delivery of Honorary appointment letters.

Ensuring documents produced, delivered and stored are accurate and comply with Trust requirements and KPIs.

Liaise and provide information to the Medical Directors Office in relation to honorary appointments and visitors.

Provide feedback and escalate any issues related to Honorary visitors to the Clinical Director and Medical Directors Office.

Carry out a range of administrative duties that are commensurate with the grade to support other areas of the team including (but not restricted to) fulfilment, data entry, scanning as required to support the Medical Workforce function.

Essential

  • Educated to GCSE or equivalent including English and Mathematics
  • NVQ level 3 or equivalent experience in customer service or administration

Professional/ Statutory Registration

Desirable

  • Certificate in Personnel Practice level or an equivalent HR qualification
  • Certificate in Personnel Practice level or an equivalent HR qualification

Previous Experience

Essential

  • Experience working within customer service or office environment within HR or resourcing.
  • Experience of producing contracts of employment accurately within set KPI standard times
