Job summary
This role is to support the Service Manager in the delivery of the service. This will involve delivering against targets in a range of service areas. This post manages the day to day administrative component of ophthalmology.
This includes ensuring the provision of high quality service to patients, and supporting a group of clinicians and clinical teams within the department. This post will assume the management of some areas of the service. These day-to-day services will be managed in accordance with agreed objectives, targets, quality standards, controls and resource constraints
Main duties of the job
An exciting opportunity has arisen for a Band 5 Assistant Service Manager in Ophthalmology.
We are looking for an enthusiastic, forward thinking, hardworking individual who enjoys working in a fast paced environment in a busy outpatient/surgical service.
General responsibilities will include:
- Direct line management of staff
- Support the Service Manager with operational meetings and deputies when needed
- Managing AL, Sickness and other HR related queries ie PDRs, compliance, training and development.
- Day-to-day running of busy outpatient and surgical service
- Validation of RTT pathway's and supporting the wider team to do the same.
- Working closely with the a variety of multidisciplinary teams and holding weekly PTL meetings,
- Participation in service improvement,review and update SOP/process guides where appropriate

About us
The Ophthalmology department is based at St Thomas' hospital. The service employs 160 staff, has 75,000 outpatient / emergency attendances and preforms 5,000 day cases a year.
The post holder will work closely with the multi-disciplined service management team. They will also be supporting the management of outpatient/surgical service for the Ophthalmology department.
The post holder will be driven to deliver a high standard of administrative support to the service and show a determination to continue to develop all aspects of the service we offer to our staff and patients alike.

Operational Management
- Support the Service Manager in managing various sections of service, e.g., out-patients or bookings. This will require working autonomously to understand and drive operating targets, budget controls, and relevant HR management.
- Ensure effective processes and procedures are in place to monitor and track performance against agreed targets within the service that may be performance related.
- Problem-solve all day-to-day management issues organising and reallocating work where situations change due to variations to the work load and staffing availability.
- Exercise delegated authority on behalf of clinicians to resolve day-to-day management issues within the service.
- Manage the analysis of data so consultants and registrars have access to timely and accurate information on all key performance indicators.
- Day-to-day managerial responsibility for administration staff within the medical typing service and outpatient team as agreed.
- Set objectives and review performance of service staff, identifying individual training and development needs and promote continued personal and professional development.
- Manage annual leave, sickness, disciplinary and performance issues in line with Trust policies and the effective delivery of service.
- Ensure all staff comply with relevant Trust policies and standing financial instructions.
- Recruit and induct A&C staff in line with Trust policies and procedures.
- Anticipate staff shortages and problem areas and take action to minimise the impact of these on service delivery.
- Support conflict resolution from patients, staff, suppliers, other internal and external service providers and partner organisations in the service.
- Ensure that all staff adhere to the appropriate legislation when dealing with patient material and that suitable filing and booking systems are effectively managed.
- Support the monitoring of compliance with internal and external governance and best practice requirements with the medical secretarial services.
