Job summary
To act as Receptionist for South Central Ambulance Service NHS Foundation Trust liaising with internal and external managers, organisations and agencies as appropriate.
To provide an efficient and effective ad hoc administrative service to Senior Executive Assistant, Trust staff and managers as required.
As the first point of contact the post-holder should at all times promote a positive image of the Trust by displaying an efficient, helpful and polite disposition, both face to face and over the telephone.
Main duties of the job
To receive and make telephone calls and filter and deal with enquiries as appropriate. Transfer calls to the relevant person. Take clear, accurate and concise messages in the event of being unable to transfer the call, ensuring such messages are passed on promptly.
To attend to visitors of the Trust following the relevant procedures, ensuring the visitors book is always completed in line with fire regulations and refreshments are offered.
Be responsible for the maintenance of the meeting room diaries including taking and confirming room bookings ensure the most appropriate room is
To prepare meeting rooms and arrange for the required facilities to be available including presentation aids, catering and refreshments, etc. Following the conclusion of meetings, clear the meeting room and re-set for its next appointment.
Responsible for the Hot Desk and Office booking system for Bicester sites including taking bookings and monitoring.
