Job summary

We have an exciting opportunity to join our Information Governance team on a full time basis (37.5 hours per week) at our Bicester office.

Please note this is an office based role, hybrid is not available.

Please also be aware that travel to other sites may occasionally be necessary.

Typically, behaviour is governed by the Data Protection Act 2018, GDPR, The Freedom of Information Act 2000 and other NHS/Department of Health confidentiality guidance regarding people's information.

The position is based at The Trust Headquarters, reporting to the Senior Information Governance Officer

Interviews to be held week commencing 16th or 23rd January 2024

Main duties of the job

Process / Monitor / manage the group email inboxes of Data Protection (GDPR) and Freedom of Information requests (which typically come from police, members of the public, solicitors, and coroners)

  • Process / Monitor all incoming post to IG and record / log / disseminate accordingly
  • Process / Monitor incoming telephone calls / queries and disseminate accordingly
  • Maintain an accurate and robust filing/recording system where each request is logged with a unique reference that is easily retrieved/located when required
  • Disseminate information requests to the appropriate person and monitor / chase responses to comply with legal deadlines
  • Assist the Senior Information Governance Officer and Information Governance Manager in other tasks
  • Scan Confidentiality Agreements and retain in the Master database
  • Take minutes at IG Steering Group meetings (a shared task with other IG Officers)
  • Present induction training to colleagues if required

In addition the post holder will maintain:

  • an exceptional level of confidentiality
  • Be computer literate and use to working with Microsoft Excel/Word
  • good working relationships with stakeholders
  • close working relationships with internal colleagues when helping to gather additional information relating to specific requests

OVERALL PURPOSE/ROLE SUMMARY:

To support the Information Governance Manager by being the main point of contact for all enquiries relating to the Data Protection Act 2018 (DPA), General Data Protection Regulation (GDPR) and Freedom of Information Act 2000 (FOIA) and all other related queries from members of the public and stakeholders, providing, administering and undertaking the efficient and effective management and resolution of enquiries and information governance issues.

To provide additional active administrative support to the IG Manager as required and to maintain information and evidence in a secure and appropriate way.

To provide high quality confidential and professional data and information storage, retrieval and analysis for the Information Governance Manager inrelation to requests ensuring that all tasks are prioritised appropriately using judgement and sensitivity when taking into account the information presented.

Duties will include:- The preparation of responses to enquiries in accordance with Trustprocedures

The drafting of correspondence with regard to enquiries, co-ordinating all responses with private enquirers, Police, Coroners, solicitors, representatives from other Public Bodies, media enquiries, patients and or their representatives and other appropriate enquirers, within statutory timelines

Acting as the primary telephone point of contact for all incoming enquiries relating to information governance, initiating and progressing responses as appropriate

Dealing with written correspondence/telephone calls in relation to enquiries and information requests and ensuring action is initiated in order to ensure an appropriate response.

Arranging, on behalf of the IG Manager, face to face meetings with enquirers and/or their representatives as appropriate

Transcribing recorded telephone/radio communications in accordance with procedure, using necessary equipment effectively, ensuring attention to detail and accuracy at all times

Collating and recording information related to information governancerequests prior to analysis and reporting

To arrange meetings with members of staff in relation to the collection of data to respond to enquiries, for example meeting with the Aqua, Operational

Scheduling, PIT teams, finance, HR etc. (eg arranging for the taking of Police statements) prioritising in relation to workloads and legislative timescales

To listen to recorded information (i.e. emergency calls) to determine if it is appropriate to offer as evidence to the enquiry, some of which may be highly sensitive and/or distressing

To review evidence and analyse the content in order to respond to complex queries using own judgement as appropriate

  • Minimum 3 GCSEs to include English and Maths

  • Significant experience of working in a similar professional environment within a support or administration role
