Job summary

An Operational Team Leader role is now available within the Non-Emergency Patient Transport Service within East Sussex. The role will be based at Eastbourne.

The Patient Transport Service is a pivotal role within SCAS providing safe and efficient transport of patients to and from various healthcare settings and their home.

As an Operational Team Leader in our Patient Transport Service in Sussex, you will responsible for the day to day supervision, leadership and management of a team of Ambulance Care Assistants, management of the base, and ensuring vehicles are checked and fit for purpose, following the relevant policies, and procedures.

Main duties of the job

The main duties of the role include (please refer to the full Job Description and Person specification)

Leading and managing a team of Ambulance Care Assistants;

- Managing the day to day rota and ensuring all shifts are covered; liaising with dispatch and planning teams providing up to date information relating to resources and staff.

- Managing the PTS base, ensuring there is available stock for crews and resources.

- Leading and managing your team of ACAs alongside our Just and Learning process. Carrying out Personal Development Plans; completing audits; regular 121s to review well-being and performance; E-learning compliance; cascade and refresher training in relation to equipment. Sickness and absence reviews; Promoting our core values, and ensuring we address any behaviour or attitudes that do not reflect these values.

- Fleet Management - ensuring the Fleet is fit for purpose by liaising with our Fleet team for service and maintenance issues. Ensuring our crews take care of the vehicles and carry out daily VDI checks.

- Working closely with your Senior Operations Manager to ensure our service is meeting the standards required with patient care at the centre of our service.

- Leading your team with a positive attitude and with a coaching style, listening and encouraging to help resolve situations and providing support and guidance.

Job responsibilities

  • To ensure that the day-to-day operational service delivery of patient transport to the patients and stakeholders within the area of responsibility is carried out by the most efficient and effective method possible ensuring that all relevant documentation is completed to the standard required and submitted in accordance with defined timescales /polices /procedures. To continually review these processes to ensure that changes, when made, are to the benefit of patients, purchasers and the service.
  • To assist in cascade of training for operational staff in identified areas to the standard of train the trainer agreed signed off training programmes, this will take into consideration the methodology of delivery and the recipients of the training.
  • To solve and provide solutions to problems that may arise on the day in the most effective and efficient way with a view to continual improvement, ensuring that resources are utilised to achieve maximum cost effectiveness epically where extended cover maybe required.
  • To undertake sickness absence management, actively manage sickness absence as per the Trust Policy to include welfare contacts, return to work welfare meetings ensuring confidentiality is always maintained, monitoring the working environment for any causative factors that may be present and ensuring that all records are entered and updated via the Trusts workforce management system.
  • The role is required to conduct vehicle, person, station and any other audits that may be required / necessary to the business of patient transport.
  • To identify and develop, in liaison with the PTS Senior Operations or Locality Manager changes within the service which will enhance the quality of service provision. In accordance with the Trusts Towards Excellence and Continual Improvement processes.
  • Promotes the team concept throughout. Has responsibility for the development and welfare of all staff for which directly responsible, ensuring they receive appraisals and individual meetings at agreed intervals, that targets are set and understood, and progress is monitored during regular reviews throughout the year. Thus, ensuring that agreed standards are attained and maintained relating to all aspect of their job role.
  • To undertake dynamic risk assessments relating to Patient Transport and the safety and welfare of patients and staff. Ensuring that all factors have been considered and reported using correct documentation, this may involve working as part of a multi-disciplinary team where complexity is involved for both the safe use of equipment, patient needs access/egress to property and associated packages of care or end of life are all considered.
  • To be competent and proficient with the Trusts IT Systems as appropriate to produce reports, statistics as required and ensure that all necessary and relevant documentation is completed to the required standards and in accordance with any appropriate legislation this will agree with the Senior Operations Manager PTS. This will involve the handing of potentially sensitive and confidential information relating to staff, patients, contracts, and budgets.
  • To assist in partnership with the Senior Operations Manager and Commercial Vehicle and Equipment Unit to ensure that vehicles and equipment are maintained to a high standard of cleanliness and repair. Any defects or damage to be reported immediately to Commercial Vehicle and Equipment Unit and repair / replacement effected and are maintained/serviced /MOTd to agreed timeframes as required by any associated legislation. To work with the Commercial Vehicle and Equipment Unit on vehicle maintenance and processes.
  • To ensure staff discipline and conduct is maintained including consistency and fairness in working practices and procedures, ensuring standards and behaviours comply with Standard Operating Procedures, Trust Policies and meet the overall expectations of the service and reinforce positive behaviours as defined by the Trust. This will include dealing with grievances, disciplinary matters at first line management level, as per current policies.
