Job summary
To ensure the smooth running of Workforce department by providing comprehensive, efficient and high quality administrative support and by assisting the teams with general tasks and enquiries across Employee Relations, Workforce Information, Recruitment and Medical Workforce. Be a first point of contact for managers, employees, candidates and external visitors, providing a welcoming and high quality reception and general enquiries service on behalf of the Workforce teams. This will include providing information and assistance and helping to resolve queries effectively efficiently, as well as assisting with maintaining and archiving confidential employee files and workforce systems, ensuring accurate and up-to-date record-keeping.
Main duties of the job
Deal with day-to-day enquires from managers, employees and candidates which are sometimes difficult or sensitive in a sensitive and helpful manner. Respond and aim to resolve queries, in person, on the phone, by post and email as appropriate, professionally and in a timely manner, such as annual leave, family leave and pre-employment checks. Signpost, refer and escalate enquiries to others as appropriate.
To set up or administer routine and ad-hoc workforce related activities, such as yearly annual leave carryover processes, maintaining the job banding system and records, involvement in supporting Workforce projects. Contribute towards Workforce administrative process improvements, including digitalisation and paper-free systems.

To monitor receipt of essential documentation and take follow-up action if responses have not been received. Ensure that accurate and up-to-date employee records are maintained. This will include issuing contract variation letters to employees in response to the processing of variation forms.
To process leavers forms on behalf of the department and to archive leavers files, labelling and recording as appropriate and ensuring effective liaison with archiving organisations and adherence to Information Governance requirements. To issue leavers questionnaires and assist with leavers reporting as part of the Trusts retention activities.
