Job summary
An exciting opportunity has arisen for a motivated and enthusiastic individual to join our team as Admin/Clerical Support to Nursing Management at the Princess Royal Spinal Cord Injuries Centre (SCIC), based at Sheffield Teaching Hospitals.
You will be working at the heart of one of the UK's leading specialist spinal injury centres, providing comprehensive and confidential administrative support to the Matron and Ward Managers. This is a unique and rewarding opportunity to play a vital role in supporting the delivery of high-quality care in a complex, fast-paced environment.
You will act as the first point of contact for queries directed to the nursing management team, coordinating responses and ensuring enquiries are dealt with professionally and efficiently. Key responsibilities include managing diaries, coordinating meetings, preparing agendas and minutes, maintaining accurate staff records, and supporting departmental processes such as complaints, training, sickness, and health and safety compliance.

Main duties of the job
- Provide comprehensive secretarial and diary management support to the Matron and senior nursing team, including preparation of high-quality correspondence, reports, agendas, and minutes.
- Organise and coordinate meetings, interviews and appointments, ensuring venues, materials and attendance are arranged
- Maintain and update electronic systems and databases, including ESR, e-rostering, training compliance, revalidation, sickness/absence records, and appraisal data
- Monitor and support HR processes such as sickness management, OH referrals, maternity, retirement and termination forms
- Handle internal and external communications including post, email and telephone enquiries, filtering and redirecting appropriately while maintaining confidentiality
- Support clinical governance by keeping noticeboards and patient information leaflets up to date, assisting with PGDs, and coordinating minor works
- Generate reports and collate data using PALMS, spreadsheets and Trust systems to support decision-making and service delivery.
- Contribute to service improvement, attend team meetings, and engage in ongoing personal and professional development.
